Rules and Regulations

Exhibit Space: The space contracted for herein is to be used strictly for the Exhibitor whose name appears on the contract for the space; It is specifically understood and agreed that the Exhibitor will not sublet nor assign any portion of the space contracted for herein. Exhibitors who resell or sublet space or render badges to unauthorized persons will forfeit their exhibit space and/or future exhibit privileges. Exhibitors must show only goods manufactured and/or distributed, or services provided by them, in regular course of business. No firm or organization which has not contracted for exhibit space will be permitted to solicit business within the exhibit area. No exhibits or displays of any kind are permitted in rooms or suites.  JUREI reserves the right to prohibit, restrict, and, if necessary, remove or require correction of any exhibit that is unsuitable or objectionable for the JUREI Conference or exhibit area.

Setup of Exhibits: Adequate setup time will be allowed prior to the official opening of the show. It is incumbent upon the Exhibitor to coordinate with the official show decorator to ensure that all material is scheduled for arrival at the exhibit hall in ample time to be erected and ready when the show officially opens. Exhibitor will be supplied with setup times and show hours upon receipt of signed contract for space. No setup will be permitted once the show is open. JUREI reserves the right to assign labor to set up any exhibit that is not in the process of being erected 2 hours prior to completion deadline on designated setup day. All charges for labor will be paid by Exhibitor.

Exhibitor Personnel : A maximum of three (3) individuals (per 8’ x 10’ booth space) will be allowed to work in a booth at one time.

Security : Every reasonable precaution will be taken by JUREI to protect property during installation, show hours and removal. JUREI, however, will have no liability for any loss or damage sustained by an Exhibitor during such hours or at any other time, whatever the cause.

Indemnity : It is expressly understood and agreed that the Exhibitor will hold harmless and make no claim against TJUH, TJU, JUREI or any of its officers, members or employees for any loss, damage to or destruction of property, nor for any injury that may occur to himself, his or its agents or employees while in the exhibit facilities, nor for any damages of any nature or character whatsoever, including direct or indirect damage as a result of loss of business arising out of the exhibition or cancellation of it.

Tear-Down of Exhibits  : NO TEAR-DOWN OF EXHIBITS WILL BE PERMITTED UNTIL THE OFFICIAL CLOSING OF THE FINAL DAY OF THE EXHIBITION. THE SHOW DECORATOR HAS BEEN INSTRUCTED BY JUREI STAFF THAT THERE ARE TO BE NO EXCEPTIONS TO THIS RULE WITHOUT PRIOR APPROVAL.  

Change in Floor Plan : JUREI reserves the right to change the booth floor plan and/or booth locations without prior permission of the Exhibitor.  

Non-Endorsement   : The exhibiting of products and services at the JUREI Annual Conference does not constitute an endorsement by JUREI of any product or service exhibited. Exhibitors are not permitted to represent in any manner that goods or services supplied by them have been endorsed by JUREI.  

Cancellation of Contracted Space   : A fifty percent (50%) penalty of the total cost of the exhibit space contracted will be assessed in the event of cancellation within ninety (90) days of show opening. No refunds will be made if space is canceled within sixty (60) days of show opening.  

Cancellation of Exhibition   : Should any emergency arise prior to the opening date of the exhibition that would cause its cancellation (such as fire, strike, or other circumstance) it is understood and agreed that JUREI will reschedule the event as near the original date and site as possible. If the event is not rescheduled, JUREI will refund a portion of the fees paid

Scanning Policy : Live scanning by conference participants is permitted in the exhibit area. JUREI show management reserves the right to prohibit any scanning or demonstration during these sessions that is deemed to be inappropriate. 

Damage to Exhibit Facilities   : The Exhibitor must leave space assigned and occupied in the same condition as when process began. Exhibitor is liable for damage to walls, columns, floor, furniture, etc.

Sunshine Act: The Parties acknowledge and agree that Exhibiting Company may be subject to Section 6002 of the Affordable Care Act, which added Section 1128G to the Social Security Act, and its implementing regulations codified in 42 CFR 402 & 403 (collectively the "Sunshine Act"). Exhibiting companies are solely responsible for collecting any information about actions within their exhibit space that constitutes a payment or transfer of value to a Covered Recipient that is required to be reported under the Sunshine Act.

NOTE: The quoted cost is for including the item in the conference bag that is provided to all course participants. Participating vendors must provide 1000 items of their choosing to the Jefferson Ultrasound Radiology and Education Institute on or before Friday April 29, 2016. Please contact our education office no later than March 11, 2016 if you would like assistance having these items made. Other products will be considered. All items require prior approval of the conference administrator.

Information Stations

Participating vendors will have exclusive opportunities to make marketing materials available to course attendees during the morning or afternoon breaks. Space will be provided near the refreshment tables for vendors to display and distribute their literature or other marketing materials. Cost: $2,000 per event



Faculty Access

During the faculty lunches and dinners participating vendor representatives will have an opportunity to interact with our knowledgeable presenters to obtain valuable feedback regarding their products and services as well as to hear the speakers’ perspectives on the field of diagnostic medical sonography.
