Mobile Phones, Email, Computers

Bridge Substance Misuse Programme, BSMP, Staff, Volunteers and Mentors are expected to adhere to appropriate ways in which to work regarding technical equipment and modes of communication. Adherence will enable secure, discreet and confidential practice.
MOBILE PHONES

Handsets must be configured with a secure password. Passwords need to be recorded by the Director and stored securely.

Smartphone devices must be updated regularly incorporating the latest system upgrades.

Any identifying information should not be stored on the device that may compromise member confidentiality.

Staff devices are issued upon need, responsibility therefore becoming that of the user to ensure the appropriate safeguards are in place.

MOBILE PHONE USER REQUIREMENTS

Users must only load relevant data essential to their job onto their mobile device(s).

Users must report all lost or stolen devices to their line manager immediately. If the employee is found negligent, they will be responsible for the replacement/repair cost of the handset.

If a user suspect’s unauthorised access to BSMP data via a mobile device, they must report the incident immediately to their line manager.

Devices must not be jailbroken or rooted* or have any software/firmware installed without the permission of their line manager.

Users must not load pirated software or illegal content onto their devices.

Applications must only be installed from approved sources such as Google or the Apple app store. Installation of apps from un-trusted sources is forbidden. If you are unsure as to whether an application is from an approved source, seek advice from the Facilities Manager.

Devices must be kept up to date with manufacturer or network provided patches. As a minimum, patches should be checked weekly and applied at least once a month.

Devices must not be connected to a PC without up-to-date and enabled anti-malware protection.

Users must be cautious about the merging of personal and work email accounts on their devices. They must only send company data through the corporate email system. If a user suspects that company data has been sent from a personal email account, either in body text or as an attachment, they must notify the Facilities Manager immediately.

Users must use standard/local rate numbers for business use only, and only when it’s essential. Phone calls are monitored on a regular basis. If you are found to abuse the standard/local numbers or use them for personal use, you may be asked to pay towards the charges.
Please note:
*Jailbreaking (iOS) and rooting (Android) refers to removing restrictions imposed by the manufacturer. This gives a user access to the operating system to unlock features and install unauthorized software.

INTERNET AND EMAIL CONDITIONS OF USE

Use of BSMP internet and email is intended for business use. Personal use is permitted where such use does not affect the individual’s business performance, is not detrimental to BSMP in any way, not in breach of any term and condition of employment and does not place the individual or BSMP in breach of statutory or other legal obligations.

All individuals are accountable for their actions on the internet and email systems. Individuals must not:


  • Use the internet or email for the purposes of harassment or abuse.

  • Use profanity, obscenities, or derogatory remarks in communications.

  • Access, download, send or receive any data (including images), which BSMP considers offensive in any way, including sexually explicit, discriminatory, defamatory or libellous material.

  • Use the internet or email to gamble.

  • Use the email systems in a way that could affect its reliability or effectiveness, for example distributing chain letters or spam.

  • Send unprotected sensitive or confidential information externally.

  • Forward confidential BSMP business related mail to personal (non-BSMP) email accounts (for example a personal Hotmail account).

Download copyrighted material such as music media (MP3) files, film and video files without appropriate approval.

Download any software from the internet without prior approval.
