Set up the podcaster for the Scholars to be able to send out a short podcast to everyone else once a day, best time is right at the end of class for the day, and pick a scholar to be in charge of encouraging people to talk during podcast, say how their day went, what's going on, etc.

Talk to them about crowded space and sharing beds. As an incentive for putting 4 scholars into a 2-bed room, or any bed sharing, offer free t-shirts, those seem to be very popular and successful incentives when used in the past. DO NOT offer cash incentives, that leads to bad feelings and adds too much complication to an already overcomplex cash management task. One alternative that might work, however, is SCGIS auction bucks as an incentive.

DOCUMENTARY: Film and photo all of the closing ceremonies, awarding the certificates. Film and photo any field trips or activities that might be going on in the travel weekend. Collect the first round of any scholar photos that they might have taken during the first 2 weeks and begin to organize them and post onto the website.

DOCUMENTARY: Arrive 2 days early to set up for the pre-conference workshops and film/photo as many as possible given you will probably be single-handed. have backup equipment clearly identified and available for fast swap out in case needed.
Night before: Run the camera volunteers orientation meeting the night prior to the conference in order to train volunteers on the equipment, procedures and basic equipment security.. Go out with the volunteers to all of the lecture rooms and do preliminary tripod and audio recorder setup, check agenda and lay out a rough schedule for the roaming podcaster, if enough volunteers, assign a roving camera with boom mic to capture random interviews the next 2 days
Day1 and 2: Film and photo all concurrent sessions. Check for battery and card changes over lunch and at days end. Have roving camera and lav mics ready for evening poster sessions or any other noisy social events. Evenings, dump off all raw footage onto editing laptop and make sure all recorders are functioning, no equipment problems.

SOCIAL most scholars sign onto the master SCGIS facebook page, many groups also form their own facebook pages
TRAIN-THE-TRAINER:
Prepare short status report on the TTT program status, new trainers added, work experience, to be used for the annual TTT program report.
DOCUMENTARY: expect to spend 1-2 months in the edit suite. For an average 5-week program and a conference with 4-5 cameras running concurrently you'll easily have over 500 hours of video to work through so prioritize. Start with all of the paper presentations since the membership and presenters will be most anxious to see those in a timely manner. Follow with the technical workshops, then the plenaries. For the scholar video capturing the highlights and ceremonies should be quick. The remaining scholar video is most appropriately used to create the actual documentary following the narrative arc of many new unknown arrivals from many countries who slowly learn powerful new technologies, become more capable and bond into a cohesive loyal group of friends by the end.
August One Month after
FINANCE: Begin work on the program final financial report before the Sept 30 End of the fiscal year. Round up all of the closing invoices and totals from lodging, rentals, volunteer expenses, Scholar additional expenses like Medical.
DOCUMENTARY: Complete a short selection of the program highlight photos for use in preparing a short program report to go along with the financial statement.
