CLUB MEETINGS AND PROCEDURES

To function effectively the club will need regularly to monitor its administration and development. This is best achieved by making the most of its committee meetings. This does not mean the committee should engage in interminable discussion, but, if it conducts its business in a controlled and responsible fashion, it will be able to get through a great deal of valuable administrative and policy making work.


MANAGEMENT COMMITTEE MEETINGS

The Secretary should convene meetings at set regular intervals to cause the least inconvenience to other committee members. A few days in advance of the meeting the Secretary should circulate the agenda and minutes of the previous meeting. All club members are entitled to know the dates and venues of meeting and can request access to the agenda papers and minutes of all meetings.


THE AGENDA

The agenda consists of items of business to be discussed at meetings. The Secretary, normally in discussion with the Chairman, will agree on agenda points and the running order of the business. Committee and other members may submit items for inclusion, providing they give reasonable notice.


An agenda may take the following form:-

  1. Chairman’s opening remarks

  2. Apologies for absence

  3. Minutes of previous meeting (there is no need for these to be read out if they have been circulated)

  4. Matters arising from minutes

  5. Correspondence

  6. Treasurers report and financial statement

  7. Secretary’s report

  8. Any other items

  9. Any other business

  10. Date of next meeting


THE QUORUM

The club constitution should clearly state the minimum number of members who must be in attendance before any club business can be officially transacted at Management Committee and at the Club AGM.


ANNUAL GENERAL MEETING

All club members are entitled to attend the AGM and should be strongly encouraged to do so. It is the occasion when, in addition to the election of officers, significant decisions regarding club policy are likely to be made. It also is an opportunity form members to express their views.

  4. Matters arising from previous minutes

  5. Presidents address
