Secretary: The minutes were sent out by email and US Mail. A new contact list was made. Please check to see if your information is correct and current. The cost of printing: Area Inventory--$35.36; September’s agendas--$2.12; Minutes and contact list--$23.24; Today’s agendas and GSR Group Reports--$4.24; and 500 Meeting list---$92.75 and postage--$27.70 for a total of $185.41 which I am asking to be reimbursed to bring the Secretary’s prudent reserve to $100.00.

Bryan and I work on contacting the inactive home groups to verify the meeting is continuing; the location is the same; a contact person with phone number and email; to bring the meeting list up-to-date. We are looking for contact information (name, phone number and email address) and verify group is continuing to meet as stated in meeting list.

Treasurer:

Our previous balance was $1,767.55 with a monthly income of $342.00. Our monthly expenditures were $454.81. This leaves us with a ending balance of $1,654.74 for September 2012. The detailed report will be included in area minutes and was electronically sent to the secretary. The mail was not received before area and the groups agreed that payments could be made to Century Link and King Communications. George obtained the mail and delivered it to my house with a donation from Willing to Make the Effort of $50.00. A check was written to Century Link for $9.19 and a check was written to King Communications for $56.80.

Subcommittee Reports:

Ad hoc—Guidelines:

The ad hoc Guidelines Committee has had three meetings since the last area meeting, one which was held today. We are in the process of reviewing and revising the area guideline quite extensively.

We have moved through and completed revisions through the following sections:


  • Name and Meeting time

  • Purpose, Function, and Responsibilities of ASC

  • Voting Participants

We have added the following sections:

  • Decision Making

  • Consensus Procedure

  • Discussion limits

We are hoping that some of the changes we are offering to the membership of the Saginaw Bay Area will:

  • Help us to move more swiftly through our meetings

  • Encourage NA members to become more involved in Area

  • Give more members the opportunity to have a say at Area

  • Make our decision making, not a win/lose, but a way to work together as a Problem-solving cooperative.

Our goal is to have the revisions and additions to the guidelines completed and presented to the ASC by the November ASC meeting. These guidelines will offer to you big changes in the way we currently function at our ASC meetings. Please, be open minded to the possibility that these changes may bring about more involvement and helps us to further our ability to serve our Area’s Groups, our Community, and to reach the addict who still suffers and has not heard of us yet.

Today you are going to receive a two page hand out that explains what Consensus Decision making is and how it differs from using Roberts Rules of Order. Please understand that when the guidelines have been completely revised, and you have the opportunity to review them, you will see that we are not saying that there should never be voting by our Area Groups or at our ASC meetings. We are only trying to offer our Area a smoother less cumbersome way of moving through its decisions.

Lastly, remember that all the Ad hoc Guideline Committee meetings are open to any and all NA members that would like to be involved.

The meeting time and location: Monday, October 29th at 5:30 p.m. at Unity NA group meeting location in Bay City.

Hi everyone!

First, I wan to apologize for not being here. I just had surgery and am recovering at home. The “Home group Olympics” in September was a hit, although participation and profit was low. This was unexpected because we have approximately fifty home groups in this Area and only five participated. We still consider it a success because homeless members found home groups which was our intent and hope, The committee has met twice to plan the Halloween Fearless Thriller October 27th. We will meet on the 24th to finalize plans. I have spent $353.46 on this event. I also spent $9.00 on the three totes for storage of activity inventory. Therefore, I am asking for a total reimbursement of $362.46. Please take a flyer to your home group so that this area gets the support it deserves. The revised reimbursement request is $272.08.

We are also planning a card party and bake sale on December 1st. More will be revealed.

Literature:

Next subcommittee meeting: October 27th at 10:00 a.m. at St Alban’s Church in Bay City.

I am submitting an invoice of the actual order sent out (with receipts) as well as a book receipt from Lou for three used books. I am asking to be reimbursed for the kits I have reassembled. The reimbursement cost was $82.97. We now have two kits as well as an extra book available.

Our present committee is going over the GSR pamphlet we were presented with in September. There are a great deal of changes that need to be made and we expect to be able to present our findings at the December meeting. We are going to have more literature committee meetings: November 3rd and 17th at 10 a.m. at St Alban’s Church in Bay City prior to the meeting for anyone who would like to join. Feel free to come and give us some support.

Retreat:

Next three subcommittee meeting: October 22nd at 6:00 p.m. at the Unity NA group in Bay City. November 2nd at 6:00 p.m. at Willing to Make the Effort meeting place in Bay City,

November 13th at 6:00 p.m. at Survival NA group meeting place in Saginaw.

The Retreat Committee is moving along at a very steady pace and we are right on target to reach our timeline goals. We have decided on the theme and design. Some final touches are being done to the design, which will be completed and approved at our next meeting.

Today we have a choice

We have received the contact from the DNR Center, which will be completed at our next meeting and returned with our deposit obligation of $1,672.00.

Positions filled since last ASC meeting: Secretary—Karen P; and Program—Tina G.

Open positions: Co-chair, Co-treasurer

We have begun to plan our fund rising for the financially impaired. First event will be a Card Party to take place on January 12th in Bay City. Flyers will be out in early December. We have a second Card party planned for February 15th in Saginaw, location still to be confirmed. We have discussed having a Dance in March, which is still in the discussion stage.

Old Business:

1. Area Inventory. I would like to thank all those that circulated the Area Inventory Sheets at their home group. However, there are many Groups within our Area that have not completed or even seen the Inventory Sheets due to the low attendance at last month area. I will collect what sheets you have brought today and start a spread sheet accumulating the information. I would also like to have the project run one more month to give more groups to offer their input through the inventory sheets included in the minutes this month in an effort to reach as many groups as possible.

2. Area calendar. It is available to post your events. Also it was suggested to print in Word. Many had difficulty opening it with Publisher. (The calendar was not found after the meeting, so no calendar this month. We will continue to work on this effort.)



New Business:

1. George suggested to the Activity Committee to consider having workshops on “home groups” and “sponsorship”.

2. It was suggested that Area have a Face Book page. Discussion followed. Many were concernsed about privacy issues with the Fellowship and the community. The issue was referred to the P&A committee.

Open Floor:

1. Phil asked a question about the MRCNA budget.



Adjourn and close: The committee agreed to adjourn. The meeting adjourned at 3 p.m. with our close led by Willard with the Gratitude prayer.
