Retention

Retention of current members is just as important as recruiting. Below are some ideas and activities to help keep members active:

If you have low attendance at a function

  • Call members to find out why they were not there

  • Start a phone tree/committee to call and remind members of projects

  • Plan projects and different times and days of the week to accommodate more schedules

  • Develop a merit or point system and give members credit for EVERYTHING.

  • Have awards and prizes for members who are very involved.

  • Check the schedule and count the number of projects for the month. If there is too many members may be suffering from burnout.

Make meetings appealing so members will show up

  • Have an agenda printed up and stick to it

  • Recognize members at meetings

    • Kudos Box- members write notes to each other and they are passed out at the meeting

    • Cup of Fame- Cup of candy passed from one member to the next with each member refilling the candy before passing it on.

    • Member of the Month

  • Make meetings as short as possible

  • Have a skit or some other entertainment to get a point across

  • Sticker under a chair to win a prize

Socials!

  • Have a social function after meetings

    • Meet at a restaurant to eat dinner

    • Potluck dinner

    • Ice Cream sundaes

  • Military Ball or Dining Out

  • Parties at the Detachment

    • BBQ

    • T.G.I.F

    • Tailgate parties

  • Old Fashion Fun

    • Slumber Parties

    • Movie Night

    • Mini-golf

Make Associates feel WELCOME

    • Call just to say “hi”

    • Have “Guardian Angels” or Secret Pals- anything to make them feel like someone really cares

Make your members feel wanted and needed

  • Give everyone a job, no matter how small

  • Watch for personality differences and put these people on separate committees

  • Avoid cliques

Communication

  • Make officer briefings short and to the point, USE VISUALS

  • Utilize email effectively

  • If a problem arises, talk to the person not behind them

  • Get to now a little about everyone.

  • Praise and thank for anything and everything

Publicity

Publicizing your organization’s events should not be as difficult as most people make them out to be. Instead, it is a chance to spend quality time with your fellow members and most importantly, have fun! The key to developing or maintaining a successful chapter is good publicity. Most organizations and clubs slap up a piece of butcher paper on a wall with some writing on it, thinking that people will become interested. Although making posters is a great idea, there needs to be some creativity involved. However, there are a few things that you need in order to have good publicity. Most importantly, you need to make sure that your returning members are motivated, organized and willing to do what it takes. You need to spend just as much time on publicizing your events as you do on planning them. Nobody wants to spend weeks, maybe months on planning an event, social or activity and then have two or three people attend. Set aside time to specifically work on making posters and setting up booths at club fairs along with many other effective methods. Believe it or not but advertising your organization can make or break it, for people are always looking for things to do but it is your job to provide them with new ideas.
QUESTIONS TO ASK YOURSELF

  1. Appeal: Whom are you catering to? What type of people do you want to attract?

  2. Timing: When should the publicity be released?

  3. Location: Where are the high traffic areas?

  4. Type: Flyers, buttons, T-shirts?

  5. Information: How much should be printed on the form of publicity?

  6. Manpower: Who is responsible for what? When?

  7. Anticipated Response: Will promotional materials conjure up a response?

  8. Budget: Will the projected response be worth the money?

APPEAL:

On a college campus there are a variety of different people out there with various goals and interest. Our goal is to pick out those people who share similar views as we do. Take a minute and analyze what it is our organization, Silver Wings, stands for. As it is stated in our mission, we are a “ coed, professional organization dedicated to creating proactive, knowledgeable, and effective civic leaders through community service and education about national defense.” Those who are in college are all striving to get a higher lever of education, meet new people, get great jobs, and overall reach a higher level of success. If you look at it that way, everyone fits our description.

TIMING:

Organizations need to publicize in a timely manner. For the most part, events need to be publicized at least one week prior. However, the publication of your organization is an ongoing process. We want people to be informed about Silver Wings all year round. It would be very beneficial to your chapter if posters that are set around campus were changed on a weekly basis. People get bored of looking at the same thing over and over again. Chances are, people walk the same route throughout the semester to get to their classes.

LOCATION:

Location is very important in ensuring that people see the message. There are many creative places on a college campus in which you can display your messages, and important information. Such locations include: Cafeterias, libraries, residential halls, bookstore bags, parking kiosks, next to clocks in classrooms, marquees, student unions, commons, bulletin boards, restrooms, the ground in high traffic areas, blackboard announcements in class (“please save”), recreational center, eating places, and simply on doors and walls of classroom buildings. There are other locations in which your chapter can display publicity items such as: your school’s newspaper, the local community newspaper, club fairs, sporting events, and concerts. Remember, these are only some ideas that could be useful to you chapter, but there are endless amounts of possibilities, you just have to get a little creative.

TYPE:

One of the most difficult aspects of publicity is trying to decide what items your chapter should use. This maybe challenging, but this is provides your chapter a chance to show their creative side. The more creative your publicity gets the better responses you will receive. First of all, start with bright colors; you want something that is going to be big enough and bright enough to catch someone’s attention if they are just passing by. Along with color, come catchy phrases. Silver Wings motto is“ Knowledge, Wisdom, and the Courage to serve.” This might be something your chapter wants to include. However, other phrases can also be used. Our non-profit organization, promotes professionalism, provides opportunities to travel (NATCON, ARCON), a long with a number of leadership opportunities, ranging from chapter level positions, regional positions, and national offices. Secondly, in order to get the name of Silver Wings out into the school and community, it is imperative to provide the logo on most if not all publicity items. Logos are trademarks that serve as a constant reminder of our organization, leaving a lasting impression in one’s mind. Following logos come T-shirts. If every member wears a shirt in the name of Silver Wings on any given day it will attract the attention of those students who have wondering eyes during class. Also, instead of boring posters like everyone else makes, try something new. Make posters in all different shapes including, circular, triangular, wavy, and perhaps in the shape of an oversized foot when placed on the floor. Aside of posters some other publicity ideas include: bookmarks, buttons, classified ads (one large crowd wanted), brochures, special invitations to be handed out in person (a.k.a. flyers), signs and banners. Not to mention, your chapter’s scrapbook. Give everyone the chance to see the countless memories that they can make while being a part of this wonderful organization, Silver Wings. The more times people see the name Silver Wings, the more interested they will become.

INFORMATION:

Keep in mind that, posters, signs, flyers, shirts, etc. do not have to contain a tremendous amount of information. Sometimes, less is better. If someone comes across a poster with only two words, it could very well make them more inclined to try and find more information. This method would probably be most effective when solely trying to sell the organization. In order draw people to an event, flyers and signs should include, whom, what, where, and when, a long with contact information, such as an e-mail address, phone number, or mailing address.

MANPOWER:

To guarantee that your Silver Wings chapter is well publicized throughout your school and community, it is important to be well organized, and have a plan of attack. It would probably be most useful to have a few people be specifically in charge of publicity and making sure members participate in the making of posters, signs, flyers, bookmarks, and the passing out of flyers a long with all other means of publicizing.

ANTICIPATED RESPONSE:

When making your materials it is important to ask, “ If I were walking a long, would this catch my attention?” We are all students and so are the people we want to attract, therefore we have first hand knowledge about the things we would like to see around campus, and what would make us look in that direction. If when you are finished constructing an item, and you do not think that it will be effective, chances are the rest of the school population will not either.

BUDGET:

Finally, it is time to think about expenses. It is most likely, if you are a new chapter of one or two years you will not have much money in your budget. A lot of these creative ideas do not call for a tremendous amount of money. A great approach to eliminating the problem of cost is to try several different approaches and when you find one that works stick to it. That does not mean, however, that your posters have to look the same all the time, and your slogans need to repeat themselves, but what it does mean is that if wearing T-shirts around campus attracted the most people, then continue to do so. Also, one of the most effective ways to publicize your chapter is through THE WORD OF MOUTH. Keep in mind, that it does not cost any more money to show your chapter scrapbook to people, or display them at tables during club fairs. Utilize all of your resources. Make sure that Silver Wings comes up in conversation before and after class, during lunch, or perhaps during socials for other organizations. This doesn’t cost anything apart from a lot of enthusiasm!
