All Volunteers are expected to respect the confidential nature of information concerning the children to which they might have access during the course of performance of their daily duties and shall not disclose the same either within or outside the home except as necessary for the care of the child.
All Volunteers should ask residents for permission before taking their picture, and should never use the child’s name when displaying the pictures in any form.
Volunteers will be knowledgeable of sensitive information relating to the children in our care. Hephzibah Children’s Home asks all Volunteers to abide by the following statements: I realize that details of a child’s placement, treatment, past history, current behavior, and family history must be regarded as confidential. I will not disclose any information concerning children or families with anyone but authorized staff unless approved by the Director or CEO. Verbal Warning will be given for non-serious offenses.

Written statements from eye witnesses will be collected.

Based on outcome, the offender may be sent home immediately at their own expense.
EMERGENCY PROCEDURES
THE MOST IMPORTANT RULE: Remain calm in cases of emergency.
Under NO circumstances should any group of children be left unsupervised during an emergency.

Be familiar with the location, type and operation of fire extinguishers in buildings.

Know two exits of evacuation from the building.

Upon sighting an out-of-control fire, remove everyone from immediate danger.

ROOM AND BOARD INFORMATION
Throughout the year, a communal meal is served in the dining hall at 1pm on Sunday and at 5:30pm on Monday, Tuesday, and Wednesday. The rest of the meals are served family style in our residences. This means that our volunteers will be participating in meal preparation for their teams in addition to the other projects they will be working on. As many of our groups value the opportunity to interact with our residents, we make every effort to coordinate food service so that the teams of volunteers can share a meal or two with the residents while they are here. Sometime, this takes the form of the volunteers preparing a special meal for the residents in their cottages, and other times it means ordering in a meal or taking the residents out for a special meal. From time to time, and as both schedules and weather permit, cooking out at one of the pavilions makes for a wonderful opportunity to feed and fellowship with our residents.
When your visit coincides with special events, which we have catered or ordered in, your group is included in our number unless you have indicated you have other plans for that evening.
What do you do now?

Identify 1 or 2 members of your group to head up your meal coordination.

Check with your team for any dietary needs or restriction they may have.

Discuss with your team when and how you would like to interact with the residents.

Create a suggested menu for your team’s meals.

Communicate all of the information back to the Volunteer Coordinator who will arrange for items to be available on campus for your team’s meal preparations.
If your team is staying on campus in the Guest House Apartments or in the Elizabeth Home, we will stock the kitchen for you, unless you wish to do your own shopping.
