You will sign for these on collection.
If you have any problems with your AlphaSmart or using it contact the Disability Support Office (DSO).
USB pens have been provided so we can ensure that there is a backup copy of any notes taken, as you know I distrust the email services on occasion, it also gives you a location to save any notes taken safely.
Don’t forget that if you finish work before the Easter vacation and don’t intend on returning for the summer term (or you are not sure) please return you’re AlphaSmart and the USB pen (you can always pick it us if you work after the vacation).
If you have a problem with your AlphaSmart, bring it to the DSO, DO NOT SWAP
BETWEEN OTHER ENT’S, we need to know who has what in order to ensure
We have all of the equipment back for the New Year.
Procedures
Prior to the lecture
As there are 8 files on your AlphaSmart you can prepare a file for a lecture before the session starts, with the Standard Document Header that should accompany all notes (see page 2). This also helps with file naming as programs such as Word automatically take the first line of text as the filename (helps when sending lots of notes)
During the lecture
Taking notes for a partially deaf/deaf student.
If you are allocated to take notes for a partially deaf/deaf student, your presence is there to assist the student to participate in the session live. In this case the student will have their own laptop.
The student will discuss requirements with the DSO; this will be shown on your weekly timetable. Refer to the live notetaking section in the AlphaSmart Guide for the mechanics of taking live notes.
After the lecture
The service level agreement with the student is that we will deliver the notes to them within 2 working days. This means that YOU need to send it to entnotes@glam.ac.uk on the same day as the lecture.
IF THERE ARE NO NOTES TO BE TAKEN OR A LECTURE IS CANCELLED WE NEED CONFRIMATION OF THIS IN AN EMAIL TO ENTNOTES@GLAM.AC.UK. THIS WILL ENSURE THAT THE DSO DON’T CONTACT YOU REGARDING THESE NOTES.
PLEASE NOTE If you are ill during your working day, and feel that you need to leave straight away, leave your AlphaSmart or USB pen with DSO and we will download the notes for you to ensure that the notes are sent directly to the student.
Standard Document Header (SDH)
The filename should be on the first line, and then you need to include any other details, such as the session title (if known) and your details as ENT.
I would also recommend the top of the file be where you give the student any other information

Please ensure full stops are not used in the heading as these can confuse word with regards to the file type.
Any notes that are undelivered will be chased, so you will need to report if
There are no notes for a session (Cancelled, no student or no notes required)
A records is kept for each timetabled session
Students all receive their notes through the central email address, and under no circumstance are you to email them notes directly.
This allows us to:

Store all of the notes taken as a backup for the students in case their computers break down (or the files are accidentally deleted)

Conduct quality checks for quality and consistency across the service.
