Purpose of this role
To provide coordination and administrative support to the Development and Engagement department, primarily in relation to the governor support programme. ‘GovernWell’ is the national training programme for foundation trust governors to equip them with the knowledge and skills they need to perform their role effectively.
Nature and scope
To work closely with the Member Development Managers in taking responsibility for the efficient administration and delivery of the governor support programme including the overall event management of a schedule of face to face events and training courses.
Accountabilities
Event Management:
• Provide a comprehensive administrative service for all programme activities, including open and bespoke training courses, and other meetings and events. This will include coordinating tasks such as pre-event planning and communication, agenda development, providing a high level of customer service and support to delegates, sourcing and liaising with venues and suppliers, logging and monitoring bookings and financial data, on-site logistical support, minute taking, post event evaluation and follow up.
Coordinate speakers, trainers and facilitators for events, including; drafting briefings, booking travel and accommodation as required, providing feedback and keeping up to date records of trainer capabilities and contracts.


• Coordinate the timely production of training materials and delegate packs to a high standard .
• Provide onsite logistical and delegate support at events as required
Website and systems:
• Proactively maintain sections of our NHS Providers website to ensure this is up-do date and relevant.
• Maintain and make full use of the organisations customer relationship management (CRM) system, bulk email tools and other event platforms to support programme planning and delivery.
Finance monitoring and evaluation:
• Undertake financial processing and regular monitoring of income and expenditure for the programme.
• Develop and maintain accurate records for all aspects of the programme for senior level internal and external reporting.
• Work with the analysis team to develop and implement intelligent dashboard reporting to record and analyse programme income, expenditure and event feedback, producing reports as necessary
Communications and marketing:
• Promote excellence in customer support, efficiently handling queries and resolving issues in a timely and professional manner.
• Implement marketing strategies to promote the programme and increase bookings.
Development:
• Assist in programme evaluation e.g. surveys, collection of good practice
• Contribute to business planning and future developments, as required
Other:
• Undertake any other administrative duties as may be required either on a temporary basis or following mutually agreed changes to this job description as a result of organisational changes.
Experience and understanding
Essential:
• Experience of working in an coordination role within a busy office
• Experience of successfully dealing with customers, clients or the public
• Proficient in use of Microsoft Office suite and Outlook (Word, Excel, PowerPoint)
• Proven experience of organising events
Desirable:
• Experience of using a membership database
• Experience of using a website content management system
• Working knowledge of online event management platforms
• Experience of working with volunteers


• Involvement in developing learning material
