Atlanta Trip-to-the-Market Guidelines
April 24-26, 2007
MERA would like to provide you and up to 10 of your marketing students a chance to experience a real marketplace. AmericasMart® Atlanta is an order-writing facility, and is the largest permanent wholesale marketplace of its kind. The uniquely integrated buildings house ten complete product centers and 30+ temporary collections. As the leading international source for consumer goods, AmericasMart remains unmatched in convenience, amenities and professionalism, making it no surprise why more retailers call AmericasMart essential to their business.
CHOOSE ONE OF THE FOLLOWING
(1) This “Trip-to-the-Market” in Atlanta, Georgia, will take place in conjunction with the DECA International Career Development Conference. If you and your students will be planning to attend the DECA ICDC, then you’ll just need to add a day to your trip with a supplemental grant from MERA. If you plan to take more than 10 students to ICDC, contact Paul Grethel about financial support for the additional students. Financial support to those ATTENDING the ICDC will be $150/student and $250 for the teacher/advisor. These amounts are in addition to any grant money you have already received for an OCLO to the ICDC and will be paid directly to La. DECA—you will just deduct your supplemental grant from your DECA Invoice for ICDC. For purposes of this supplemental grant, you will apply for an approximate number of attendees since you won’t know the exact number until after CDC. You can adjust that number later. Hotel arrangements will be made by MERA; you make your own transportation arrangements.
(2) For those of you who will not be attending the DECA ICDC, you can simply come in for the “Trip-to-the-Market” excursion for April 24-26, 2008. You, too, will receive a supplemental grant from MERA. Financial support to those NOT ATTENDING the ICDC will be $300/student and $500/teacher/advisor. Hotel arrangements will be made by MERA; you make your own transportation arrangements. You will be invoiced in March for your rooms.

WHAT YOU AND YOUR STUDENTS WILL GET
One day (April 25) touring the Market, hearing speakers on marketing careers, lunch, and a trip to the Atlanta Aquarium that afternoon which will be paid by MERA directly to the Atlanta Aquarium and not included in any of your supplemental funds. Dennis Volentine has offered to arrange bus transportation for the Market trip and for ICDC if enough people are interested. Check off on the application if you would be interested so he can get more info to you. The bus transportation aforementioned is being organized by Dennis Volentine and is not chartered by MERA. MERA is not liable for suit or damages which may arise as the result of the use of a charter bus or any other form of transportation.
SUPPLEMENTAL GRANT
Complete the attached Supplemental Grant form and submit it to Paul Grethel, 13967 J R Drive, Walker, LA 70785 by February 12 (postmarked). No late grant applications will be accepted.

MERA CODE OF CONDUCT/PERMISSION FORM
MERA requires each person attending the Trip-to-the-Market to read and complete this Code of Conduct and Attendance Permission Form and return the form to the MERA.
CODE OF CONDUCT
-
There shall be no defacing of public property. Any damage to any property or furnishing in the hotel rooms, building or bus (if used) must be paid for by the individual or chapter responsible.
-
Attendees shall refrain from using inappropriate or profane language at all times.
-
Attendees shall refrain from verbal, physical or sexual harassment, hazing or name-calling.
-
Attendees shall respect the rights and safety of other hotel & bus guests and market personnel
-
Attendees shall not possess alcoholic beverages, narcotics or weapons in any form at any time under any circumstances.
-
Attendees shall refrain from gambling—playing cards, dice or games of chance for money or other things of value.
-
Use of tobacco products by attendees is prohibited at all MERA functions.
-
Attendees must adhere to the dress code at all times.
-
Attendees must not dress or behave in a manner than can be interpreted as sexually explicit.
-
Student attendees shall keep their adult teachers informed of their activities and whereabouts at all times.
-
No student attendee shall leave the hotel during the day unless permission has been received from the teacher and shall not be outside the hotel after 7:00 p.m. without his/her teacher.

Attendees should be prompt and prepared for all activities.
-
Attendees should be financially prepared for all activities.
-
Attendees are required to attend all activities.
-
Attendees will spend nights at their assigned hotel and in their assigned room. No guests are allowed during curfew hours. Attendees will be quiet at curfew.

Curfew will be enforced. Curfew means the attendee will be in his/her assigned room between midnight and 6:00 a.m.
-
Teacher attendees will be responsible for Attendees’ conduct.
ATTENDANCE
This is to certify that (delegate’s name) ______has permission to attend the above named MERA activity. I also do hereby on behalf of him/her absolve and release the school officials, the MERA personnel and MERA from any claims for personal injuries or illness which might be sustained while he/she is en route to and from or during the MERA sponsored activity.
EMERGENCY
I authorize the teacher to secure the services of a physician or hospital, and to incur the expenses for necessary services in the event of accident or illness, and I will provide for the payment of these costs:

We have read and agree to abide by the MERA Code of Conduct. We also agree that the school officials and the MERA personnel have the right to send (delegate’s name) ____________________________
home from the activity at our expense, provided that he/she has violated the Code of Conduct and/or his/her conduct has become a detriment. We also understand that transportation to and from Atlanta is the responsibility of the school and that MERA is only providing a link to bus transportation arrangements but is not providing the service. MERA is not liable for suit or damages which may arise as the result of the use of a charter bus or any other form of transportation.
