2. Ultimate Science Trip Movie It played while we discussed the trip.

3. Time for questions. There may be a past student available to answer questions.
“Last week I reflected on the trip and concluded that while a family excursion to the states may be extremely difficult to impossible now, this trip provides a timely and unique opportunity for a deserving young man or woman to participate in a trip of a lifetime that may influence them long into their adulthood in many ways. I keep hearing stories of how careers and relationships were started on the trip. As well, your son or daughter has worked really hard to earn the respect and support from at least three teachers who filled out a reference sheet for them!” Scott. C. Trip coordinator

4. Description of the Trip

One group of 88 students, 16 parent chaperones, 5 RDPSD staff chaperones – Total 109

The Group will be gone approx. March 21st to 30th, 2018. Flights still need to be confirmed & that is why dates are approximate. The trip will be held during Spring Vacation of 2017. This 10 day, all inclusive trip will cost approximately $3700 and is payable in 10 installments to keep payments low and affordable. Due to the fluctuating exchange rate the price is only an approximation. In addition there is mandatory school insurance of $65 which is comprehensive and covers EVERYTHING!

Trip Itinerary – Breakdown each day (see example of attached tentative itinerary)

5. The Website is: http://grouponesultimatesciencetrip.wordpress.com/. It is one of the BEST ways to keep informed of the trip. Both students & parents should check it often! We also use Remind 101. Sign up for Remind by texting “@774eh”to 7097010609to receive important updates about the Ultimate Science Trip 2017

6. Roles

Students’ Roles

1. Fundraise if necessary (remember this is your trip – take some or all responsibility)

2. Behavior must be exceptional throughout the next 16 months (No major discipline referrals at school – we would hate to dismiss a student due to their behavior)

3. Must attend all meetings! One excused absence is not OK - every meeting is purposeful.

4. Pay attention to announcements at school and /or emails regarding the Science Trip.

5. Check & explore the website regularly – there is lots of cool stuff to check out!

Chaperone’s Role

1. To take responsibility for 4 students for the trip and act as a parental role model for these students and all others on the trip.

2. Attend meetings where chaperones are asked to attend.

3. Pay attention to any emails regarding the trip & check the website regularly. In fact, don’t just check it….explore it, there is lots of cool stuff to check out!

Teacher’s Role

1. Support Parent Chaperones with student concerns as well as chaperone their own group.

2. Help with educational areas of the trip.

**Florida teaching staff reserves the right to make final decisions for participation in the Ultimate Science Trip based on medical, health, behavioral, financial and attendance issues.

Parent’s Role

1. Help support & organize your child during the next 16 months before the trip!

2. Consider serving on the fundraising committee for the trip.

3. Attend meetings when parents are asked to attend. There will be fewer this year.

4. Ensure payments are made by due dates.

5. Turn in paperwork when requested.

Trip Coordinator’s Role

1. Oversee all planning of trip and troubleshoot all issues directed from parents, chaperones, students and the trip provider.

7. Price / Payment Schedule

The price right now stands at $3995.00, but this can go up or down and is dependent on the final price from the trip provider and the exchange rate. This price includes everything EXCEPT spending money, insurance ($65.00) & airplane meals. It does include: All meals while in Florida, hotel {4 students per room}, transportation, night security, special educational programs / classes, MPO guide, insurance, taxes, gratuities, some special photos, all entrance tickets / special VIP passes and Discovery Cove dolphin pictures.

A $450 non – refundable deposit was paid with your application this is NON REFUNDABLE & not transferrable. and regular scheduled payments as per payment schedule listed below are mandated to be submitted on time. and Please see section 16 for payment amounts, due dates and other important financial information.
There is a late payment penalty fee of $50 per due date if over 3 days, as we are in turn on a strict payment schedule with our trip provider.

Chaperones have the same payment expectations as students.
** For discussion: How to make the trip more affordable. 8 Days? 9 Days? Reduce what we feel are “frills”. Better use of time. Flight times 12:30am departure / 1pm arrival. ...etc.
8. Meeting Times

Usually 6:30pm we will meet at Westpark. We will have a few parent meetings (May, September and March 2017). We will send information through email on an as needed basis. Sometimes we will send an announcement out to your child through their school’s teacher contact or the school’s announcements. This email/letter is to let you know when the next meeting will be; it is essential to make each meeting so as to not lose out on any important information we have discussed. Group dynamics is also a vital part of this trip– missing meetings will not allow groups to bond as well as we would like to see. Look for these monthly email/letters coming home. All meetings will be held at schools to be named later. The meeting will most likely be at Eastview or Westpark. We will rotate the meetings to different days so that evening activities are less disruptive on your child’s other commitments. Most meetings will be for students only.

Upcoming Meetings:

The fundraising money is held in a separate bank account and has nothing to do with the schools, therefore, your school contact will not know anything about what you have in your fundraising account. Passports can take some time to acquire but are MANDATORY - U.S. Immigration will not allow you to enter the United States without one! A “long” birth certificate “with parentage” is now required for a passport. If you do not have one, that must be your first step as it takes about 4 weeks to arrive. The website for passport applications iswww.ppt.gc.ca. The website for Birth Certificates iswww.servicealberta.ca. (select the Vital Statistics tab) IF you do not have a Canadian Passport, it is YOUR responsibility to ensure that you have the necessary travel documents while travelling within the parameters of this trip. Should you not be able to gain access into the country due to lack of travel documents, you are solely financially responsible for loss of trip, travel, etc.

13. Single Parent Families – It is a must that custody issues be addressed with a letter of consent to travel to Florida (signed by parents and a Notary / Lawyer). See Mr. Cline for further details. Two parent guardian signatures are required for this form. Custody agreements may also be required.

14. Criminal Checks for Chaperones – Our District requires that chaperones must provide us with a Criminal Record Check. This should have this handed in as soon as possible. (end of December at the very latest) This process now takes about one week. Mr. Cline has a letter for all chaperones to take down to the main police station so that you will not be charged for this service. If you are charged a fee, please give us the bill and we will reimburse you.

15. Ultimate Science Trip Reimbursement Policy
