Invitation


The Division of Biosciences invites delegates and researchers on Atlantic islands to participate at the 5th International Symposium on the Fauna and Flora of Atlantic Islands at University College Dublin (UCD), Ireland between August 24th and 27th 2004. We hope you will schedule this important international event into your calendar.
Register early to take advantage of discounted registration fee and guaranteed accommodation.


Objectives of the Symposium

While the faunal and floral communities of Atlantic islands are partially derived from adjacent continents, they have also developed independently through isolation. Though isolated, these islands share migratory animals and are linked by patterns of past floral and faunal dispersal. Threats to fragile island ecosystems arising from socio-economic pressures are many, creating problems for conservation and sustainable development. The multi-disciplinary approaches of Atlantic island researchers to different aspects of island ecosystem function and biodiversity, make valuable contributions to the economic goal of sustainable use of their unique biological resources.


Previous symposia in the series on Atlantic Island Fauna and Flora have been held in Macaronesia - Madeira, the Canary Islands, the Azores and most recently in Cape Verde. The Symposium in Dublin in August 2004 will be the first to be held outside Macaronesia. The concept of this 5th Fauna and Flora of Atlantic Islands Symposium (FFAIS-5) will encompass a wider range of islands extending from those bordering Arctic waters to the islands of the Caribbean and should involve all countries concerned about the varied aspects of island fauna and flora. It will be a unique opportunity for researchers to share and extend their understanding of island ecosystems and their common natural heritage.
FFAIS-5 is open to participants with an interest in all islands whose shores are bordered by Atlantic waters.
The Symposium will also address aspects of EU legislative obligations specific to Island ecosystems, such as the Water Framework Directive and the Habitats Directive. FFAIS-5 has received endorsement from the EU Director General, Environment, Dr Catherine Day, who in a letter of support states "The European Commission's Directorate General for Environment is very concerned about the continued loss of biodiversity within the EU and world-wide and is happy to give its political support to an event such as FFAIS-5" and has requested that “the papers presented, together with ideas generated by discussion and any conclusions or resolutions reached be sent to the Commission for its consideration as it develops EU policies aimed at halting decline in biodiversity".

Symposium Venue


Dublin

Dublin is renowned world-wide as a city of writers and literature, home to Joyce, Shaw and many others. The city's origins are steeped in Viking history and archaeology. Today it is a city of fine Georgian buildings, excellent stores & shops, pubs & restaurants, museums & antique shops, all combining to make it one of Europe's most entertaining cities.


The Belfield campus of University College Dublin, 4 km south of the centre of Dublin, is an ideal location for conferences, seminars and meetings. Within the green Belfield space are the modern facilities that a purpose-designed campus can offer: shops, post office, bank, restaurants, sports facilities and self-contained budget accommodation. Belfield is a campus village in its own right and offers easy access to the city centre and surrounding countryside including stunning coastal scenery and the majestic Wicklow mountains.

Scientific Programme

The scientific programme of the symposium will span three days, Wednesday 25th, Thursday 26th and Friday 27th August and will comprise a varied collection of invited keynote speakers and offered oral and poster presentations and workshops.

Biogeography - Fauna and Flora: Oceanic Environments and their Impact on Plant Distribution. Professor Robert Crawford, University of St. Andrews, Scotland.

Conservation, Sustainable Development and Ecotourism: Title to be announced. Dr Erich Hoyt, Whale and Dolphin Conservation Society.

Call for presentations



The organising committee invites presentations in the Symposium theme areas. One presentation (one oral paper or one poster) per person will be allowed, although an author may be a co-author on other papers/posters. All accepted oral and poster presentations will be assessed by the Editors and Scientific Programme Committee to ensure a high scientific standard in each of the symposium themes.

Participants giving an oral or poster presentation must submit an abstract by 30 April 2004. See page 10 for details.

Presentations



Invited plenary speaker presentations are scheduled to last 30 minutes. Oral presentations are scheduled for a maximum of 15 minutes. Poster boards (1 m wide and 1.5 m high) will be provided. Posters must display a title (letters 3cm high) with names and addresses of the authors. Other lettering and symbols should be not less than 1 cm high. Poster presentations may be set up on Tuesday afternoon 24th August and Wednesday morning 25th August. Authors must be present to discuss their presentations with the poster session chairperson and delegates at the specified poster sessions on Wednesday and Thursday afternoons during the refreshment breaks.

Presentation aids visual


Session theatres are provided with 1) Projectors for Powerpoint presentations, 2) 35mm slide projector and 3) overhead transparency projectors. Powerpoint presentations are preferred but presenters may not use their own computers and must use equipment provided by the Symposium to which presenters files will be preloaded. Powerpoint files may be transferred from a) CD-Rom (not re-writable); b) 100 Mb or 250 Mb ZIP disk; c) memory stick to USB port; d) Compressed to floppy disk(s); e) From the Powerpoint 'Pack' n Go' facility.

Workshops


Workshops addressing the themes of a) Ecotourism, b) Invasive Species and Islands and c) EU Directives on Atlantic Islands will be scheduled, providing opportunities for greater depth of discussion for participants with a specific interest in these themes. A fourth workshop may be facilitated if sufficient demand is expressed to the Scientific Secretariat.

Publication


On acceptance of abstract, authors will be provided with full details for manuscript preparation for the Symposium Proceedings. To be eligible for publication in the Symposium Proceedings a paper must have been presented (oral or poster) by the author and be submitted to the Editors by September 30th 2004. It must be an original contribution that has not been submitted elsewhere and must not exceed 1,500 words of text or 6 printed pages including tables, figures and references. Charges (€100 per page) will apply for excess pages.

Optional Post-Symposium Excursions

Post-symposium excursions commencing on Saturday 28th August will provide opportunities to visit different parts of Ireland. Two excursions (described below) are planned. The final programme will depend on the return of preferences. Operation of the excursions is subject to a minimum of 25 participants. Should less than this number book, then the Organising Committee retain the right to cancel the excursion(s) and/or amend its itinerary and/or increase the rate. In the event that the Organising Committee decides not to operate the excursion(s) its financial liability will be limited to a full refund of the cost paid for the excursion(s).




  1. Wicklow Mountains National Park and Glendalough 28th August, (09.30-16.30)€45 per person (including lunch)

A 1-hour drive south of Dublin visiting the lakes and valleys of the Wicklow Mountains National Park and Glendalough, the site of a monastic city and centre of European learning around 500 A.D. The National Park covers an area of approximately 20,000 hectares in County Wicklow and includes large areas of mountain blanket bogs, including the Lugnaquilla and Liffey Head Bog complexes and Glendalough Wood Nature Reserve. The Park provides protection for the landscape and the wildlife, from rare orchids to the wild and beautiful peregrine falcon.

2. Clonmacnoise, the Burren, and the west coast (2-day, overnight Saturday) €189 per person (full board)
Clonmacnoise (www.heritageireland.ie/en/HistoricSites/East/ClonmacnoiseOffaly on the way to the Burren, is a 6th century early Christian site on the banks of the River Shannon with ruins of a cathedral, eight churches, two round towers and three Celtic high crosses. Further west the rocky limestone plateau of the Burren (www.burrenbeo.com) presents a wide range of habitats for plant and animal life in its karst typology, caves and scenic landscapes. The region also features the remains of prehistoric tombs and forts, medieval monasteries and churches To the southwest the plateau extends to the Atlantic Ocean at the magnificent 180 m-high Cliffs of Moher.

Accommodation

Accommodation has been reserved for symposium delegates on campus at University College Dublin and in the nearby Montrose Hotel. Accommodation must be pre-booked through Conference Organisers Ltd. (see Registration and Accommodation form) no later than July 23rd, after which date accommodation is not guaranteed and will be on a request basis only. Rates indicated are per room, per night, inclusive of breakfast (Irish in the Montrose Hotel and continental on campus), service charges and taxes. Rates are correct going to press but are subject to changes in Government taxes.



Campus Accommodation, Merville Residences - University College Dublin


The accommodation in the Merville Student Residences is in self-catering apartments, each consisting of 4 single bedrooms, with a common kitchen, sitting room and two bathrooms. Bed linen and a limited supply of towels are provided. Delegates occupy one bedroom and share the apartment with three other people. There are no double or twin rooms. Daily continental breakfast is served in the university's main campus restaurant. An on-campus shop also sells basic food items. If you wish to share an apartment with a colleague please indicate the name(s) on the Symposium Registration & Accommodation Form. If no names are given then Conference Organisers Ltd will allocate rooms. The on-campus accommodation represents value for money but we emphasise that the standard is student campus accommodation. Delegates who require the standard and facilities of a hotel should consider the nearby Montrose Hotel.

Montrose Hotel


A 179-bedroom, Grade *** hotel located a 5 minutes walk from the symposium venue, and 10/15 minutes by public bus to Dublin city centre. The hotel is noted for its lively atmosphere and the local flavour of its bars and restaurants.

Delegate and Student Registration Fee includes: Satchel and Identification Badge, Programme and Abstracts volume, Welcome Reception, admission to all symposium sessions, the State Reception on Wednesday 25th August, daily morning & afternoon refreshments, the Farewell Reception on Friday 27th August and tourist information.

Accompanying Persons' Fee includes: Satchel and Identification Badge, welcome reception, invitation to the State Reception on Wednesday 26th August, the Farewell Reception on Friday 27th August, one-day bus pass for Dublin Bus services and tourist information.

Payment of Fees


A completed Registration/Accommodation Booking Form (downloaded from the website or centre page pullout from Second Announcement booklet) should be returned by post or fax to Conference Organisers Ltd. before 30th April 2004 to avail of reduced fees. Forms should be accompanied by full payment of registration fees, accommodation and optional post-symposium tour costs where appropriate. Please ensure payment is net of all charges. Any bank charges deducted from your payment will be reinvoiced to you. The registration/accommodation form can be completed on, and downloaded from the website (www.ucd.ie/ffais5/ffais5.html) but for security reasons a full online registration facility cannot be provided.
Payment which must be made in € (euro) may be made by:


  1. Cheque or Bank Draft drawn on an Irish Bank and made payable to "FFAIS-5" (Post only).

  2. Cancellations

Where delegate cancellation is notified, refunds of registration fees, accommodation and post-symposium optional tour costs are applicable as follows:

In the event that a post symposium optional tour is cancelled by the organisers a full refund will be made.


Cancellations must be received in writing by Conference Organisers Ltd. by the dates specified. Credit cannot be given for unused service, unattended events or early termination of attendance. Substitute delegates are permitted but any change must be notified in writing to Conference Organisers Ltd.

N.B.: Please note that it can take 4/5 weeks to process a Visa Application and early application is recommended. Airport Transfers: Dublin Airport is approximately l8km from University College Dublin, Belfield via the city centre. A taxi from the airport to Belfield costs approximately €30 - €35. A Private Coaching Company, Aircoach, (www.aircoach.ie) operates a service from the Airport every 15 minutes and stops at major hotels, including the Montrose Hotel at the Stillorgan Road main entrance to University College Dublin (€6.00 one-way, €10.00 return). Dublin Bus (www.dublinbus.ie) operates a "747 Express" bus every 10 minutes to the city centre (€5.00 one way). University College Dublin, Belfield is serviced by public transport. A No. 10 bus (marked Belfield), a No. 2 bus and a No. 3 bus from the City Centre (O'Connell Street) depart every 10 minutes. The 46A bus (marked Dun Laoghaire), from Fleet Street in the City Centre also serves the University at the Stillorgan Road main entrance to UCD.
Insurance: The Organising Committee, or its agents, will not be responsible for any medical expenses, loss, damages or accidents during the Symposium. In particular we draw attention to the cancellation policy in respect of registration fee, accommodation costs, etc. In the event that, for whatever reasons, the Symposium has to be cancelled, or postponed, the Organising Committee, and/or its agents, will not be responsible for any refunds. We strongly recommend, therefore, that delegates insure themselves for medical and cancellation charges.

Certificates of Attendance: Certificates of Attendance will be available on request.
Identification Badges: Name Badges must be worn at all times to ensure admission.
Official Language: The official language of the symposium will be English and all documents will be provided in English. No translation facilities will be available.
Smoking Policy: Smoking in public buildings is forbidden by law except in designated areas.
Electrical Appliances: The electric current for utility appliances is 220 volts.
Banking and Local Currency: Banks are open from 10.00 - 16.00, Monday to Friday and until 17.00 on Thursdays. There is a branch of Allied Irish Bank on Campus. The currency in Ireland is the Euro (€).
Car parking will be available at the UCD campus in Car Parks 1 and 5. The Organising Committee will not be responsible for the security of cars.
Weather: Irish weather is variable. Sunny spells and showers are normal for August, with temperatures of up to 20 degrees C. Delegates are advised to bring rain attire and sweaters for the excursions.

Submission of Abstracts

Participants giving an oral or poster presentation must submit an abstract. An electronic copy of the abstract, in MS Word format, should be e-mailed as an attachment to the Scientific Secretariat (ffais5@ucd.ie) indicating the subject area "ffais - Abstract". If you are unable to e-mail a copy in MS Word, please incorporate the abstract in the body of the email (as well as sending a hard copy). Guidelines for abstract format are provided below. Follow these guidelines carefully, since abstracts not conforming to the specified format may be rejected. Abstracts will not be included in the abstracts volume unless registration fees have been received. The deadline for receipt of abstracts is 30 April 2004. The Organising Committee will inform you as soon as possible if your abstract has been accepted. All presenters will be informed by e-mail before May 31. Authors whose presentations are accepted will be provided with guidelines for publication in the symposium proceedings. Depending on the number of abstracts submitted, you may be invited to present your paper as a poster, or your poster as an oral paper. Abstracts of accepted presentations will be printed in a Book of Abstracts available to registered delegates on arrival at the Symposium.

This is the main abstract in font Arial 11-point regular. It should in one paragraph, with no bullet points or similar numbered lists (incorporate lists into the paragraph). Scientific names should be italicised. Avoid citing references in the abstract, but if they must be included, number them thus (1) in the text and cite at the end of the text as shown below, leaving one line space between the end of the main text and the reference. The total abstract (including the first 3 lines giving form of presentation, session topic and any references) must be no more than 29 lines, including line spaces.

Additional guidance notes:

  • Format: Use A4 page size, with all margins at 2.54 cm and text fully justified (straight edges on both sides). The font should be black (or automatic), Arial 11-point regular, except for the title which should be Arial 11-point bold and the affiliations which should be Arial 10-point italics. Use single-line spacing with two spaces between sentences (also 2 spaces after numbers in list of affiliations). Do not condense the character spacing or reduce the line spacing to fit more text! Do not use tabs or automatic formatting (except the font colour which can be left as automatic) and do not indent text. Leave one line space above and below the author names and also between the affiliations and the main text.

  • Under “Presentation”, indicate 'Oral' or 'Poster'.

  • Preferred theme: Give one of the themes listed in this Circular. If your presentation does not fit into any of these topics, state 'Other' and then in brackets the theme closest to the topic area. If you are a keynote speaker, please state 'keynote speaker'.

  • If more than one author, the name of presenting author should be underlined and all authors' affiliations indicated with superscript numbers.

  • Affiliations: Give full postal address (including post code and country) for the corresponding author. Institution, town or city and country is sufficient for other authors. Provide e-mail addresses where appropriate.
