ITWorx will cooperate with Ananatara staff to complete and execute a training plan Administrators, Content Editors & Authors and Key Employees who will receive the training on Ananatara Website. ITWorx training plan will include training strategy, methods, location, and exact schedule.
Extra hours of training, as required, will be charged separately per instructor day on premises. Course request is preferred to be issued by designated individuals at least one week in advance. The exact training curriculum and material will be provided after solution development.

It is required to get acceptance for all deliverables within three (3) days from delivery date.

Content stored in authoring site collections must be indexed before it will be made available to publishing site collections. The search system only indexes items that are major versions. This means that the contents of publishing site collections will be shown to portal visitors after a configured time interval from publishing them in authoring site, meanwhile administrator can set a shorter or longer interval for content to be viewed

Delivery by Best Practices
ITWorx has realized the value of employing best practices during project execution that significantly influence project success. ITWorx believes the following factors enable streamlining project delivery towards remarkable success:
Sufficient envisioning period through holding meetings with projects stakeholders to introduce ITWorx methodologies, define roles and responsibilities of parties
Project management discipline through dedicated Project Manager who oversees overall project progress, ensures team progress, and forces synchronization and clearness of requirements; regular and periodical communication to ensure alignment among project stakeholders; and interim review and sign-off of project deliverables by a single member
Time Estimate and Deliverables
ITWorx provides herein a tentative project plan for Ananatara Website. The final project plan will be reached upon finalizing requirements gathering. ITWorx reserves the right to modify the plan in case of change in requirements. The preliminary estimated duration for Ananatara Website implementation for phase one is 3 months.
ITWorx requires mobilization period of 4-6 weeks upon receiving signed contract or Purchase Order.
The following subsections provide project phase's durations, a high-level plan illustrating phases overlap as well as the actual project duration. Deliverables subsection provides ITWorx deliverables associated with each project phase.

ITWORX’ project plan is dependent on external factors that must be fulfilled to achieve successful project execution. These dependencies are identified as follows:

People's methodology for acquiring information has been changing significantly overtime. Previously most websites relied on providing information to their end-users, without really providing the capability for their end-users to interact with them. As social media began to prevail, end-users' expectations for interacting with the organizations have increased. End-Users expect to go directly to the Facebook page and ask a question, go to twitter and add a tweet or even open up YouTube to watch the latest advertisements and videos.
This trend of two-way communication allows companies to make good use of social media such as Facebook, Twitter and YouTube to promote themselves. Nonetheless, at the same time they also need to be sensitive to Facebook users’ preferences and behaviors in order to do a good marketing job through the social platform. It must be recognized that nowadays people are not passive anymore by satisfying with just absorbing information as given, but they also prefer to be able to interact with other people or giving out their own views on the internet – reflecting perhaps a subtle way to achieve self-actualization.

There are a number of reasons why Facebook pages are important for any business. From a search engine optimization perspective, most major search engines have both confirmed that Facebook has an impact on search engine rankings.
Facebook pages show up in the search engine results pages usually at a very high ranking so it's an essential way to drive traffic to both Ananatara's Facebook page and website.
Creating an online presence via a Facebook page helps build a connection with end-users. It builds creditability about the businesses and the services and/or products that it offers hence providing a better trust relationship between the end-user and Anantara.
As part of the solution ITWorx proposes to provide a customized Facebook page for Ananatara by providing the following:

Content Management 1.1.9.Overview
ITWorx understands Ananatara’s need to manage its website, Facebook, Twitter & YouTube content; hence ITWorx proposes a fully managed outsourcing model that will help Ananatara achieve its purpose in its content management process.
Interaction with Ananatara's digital presence will be minimal until the project launch; hence ITWorx proposes a simplified content management process as part of the solution, another more concrete content management process will be devised based on the assessment at a later stage of the project; out of the current scope.
Content governance is the day-to-day detailed management of content delivery and style. The tools involved in content governance can and may include content workflows, editorial guidelines, style guides, editorial management boards, web content committees, publishing calendars, etc...
Content is managed by many stakeholders in any organization, consider the news and events that public relations usually handle and the latest researches that doctor's provide. When a number of stakeholders are involved it becomes a necessity for organizations to create a governance plan and a content management process in order to ensure that the quality of all content is up to the standards.
ITWorx proposes a content editing and management process that focuses on the communication and approval of content before being published, the below diagram depicts such a process:

The Business requests a change in Ananatara content by filling in a form in which they define the "Reason of the Change" and "Content Availability"

This content change request form will be forwarded to the "Marketing Coordinator" who will be responsible for verifying the received change and developing a draft Content Requirements document

The draft Content Requirements document will then be forwarded to ITWorx Project Coordinator / Webmaster who will be responsible for fully analyzing the content change requirements and defining the needed activities:

The accomplished content will then be forwarded to the Webmaster who will be responsible for testing the content before publishing (pre-publish testing) and also he will be responsible for communicating with Ananatara IT to prepare any needed IT related implementations. The Webmaster will then generate a draft content page

The draft content page will be forwarded to the Ananatara "Marketing Coordinator" to check the look & feel, proof read the content and validate the User Experience. Marketing Coordinator will then mark the draft content page as “Finally Checked/Approved”
Step 7
The Finally Checked/Approved content is routed to the Marketing Director & relevant Business Heads to finally approve and content for publishing
Step 8
This finally approved content will be forwarded to the Webmaster to Publish.
1.1.10.Roles & Responsibilities
This section describes ITWorx proposed framework with Ananatara through a description of each role responsibilities. Upon proposal acceptance, the two parties will enter a contract formulation phase that will govern the future of the relationship.
1.1.10.1.Webmaster
The Webmaster role comprises of the following:
Responsible for the effective flow of information between various stakeholders involved in the Digital Content Management process
Responsible for managing the end-to-end content management process between ITWorx and Ananatara stakeholders through determining and assigning each task to its relevant owner
Implementing the agreed action plan, between Ananatara and ITWorx resources, to the agreed standards and deadlines
Meeting with Ananatara Approvers to have more details on comments provided to ensure Graphics Designers have full understanding on the needed updates
Leverages his/her technical knowledge to support in updating the content and maintaining the SharePoint portal, Facebook, Twitter and YouTube pages.
Responsible for ensuring SharePoint is compatible with operating systems and software used within Ananatara
Conducts the required system upgrades and reviews the health status of the portal
Manages, edits, uploads, and publishes of the content on the SharePoint portal
Manages access rights and grants permissions based on requests and according to Digital Marketing policies
Manages updates to information architecture and adds new pages using the existing page layouts
1.1.10.2.Artwork and UI Development
The Artwork and UI Development Team responsibilities comprise the following:
Artwork Team includes - Graphic Designers (GD) - whom will be responsible for enhancing the User Experience by enriching the graphic content of Ananantara public portal and create attractive campaigns with the following scope:
Graphic design updates by the means of:

GD will update, upload, and test the graphical materials based on the required objectives and provided graphics resources and materials from Ananatara

UI Development team will be responsible for creating small widgets or web parts required as part of the project including the following types only:
Forms: Forms that add data to a backend SharePoint list (using the form report wizard only with no coding)
