Training


ITWorx will cooperate with Ananatara staff to complete and execute a training plan Administrators, Content Editors & Authors and Key Employees who will receive the training on Ananatara Website. ITWorx training plan will include training strategy, methods, location, and exact schedule.
Extra hours of training, as required, will be charged separately per instructor day on premises. Course request is preferred to be issued by designated individuals at least one week in advance. The exact training curriculum and material will be provided after solution development.

ITWorx will provide Ananatara with bug fixing for one (1) month. Warranty period will start after deployment to production environment, or after finishing the User Acceptance Testing (UAT) on the staging environment; whichever is closer
During this period, initial support is provided over the phone or through remote dial-in. If the situation requires an onsite visit, travel and accommodation costs will be required from Ananatara.
The following section provides further details on ITWorx general Support Service Level Agreements which are subject to Ananatara’s approval, and are flexible to be tailored to meet specific requirements.


Scope of Work

This section provides ITWORX proposed solution scope and assumptions constructed while formulating the technical solution.


    1. In Scope


These items are in the delivery and price scope of ITWORX proposal:
Anantara Website Solution

  • Analysis, design, implementation, testing and deployment for a web portal in bilingual languages (English/ Arabic) leveraging MS SharePoint 2013 and MS SQL Server 2012

  • English interface for administration, as well as bilingual content support will be offered with English, Arabic languages

  • Identity Branding with Rich & Attractive Designs

  • Security Management based on SharePoint 2013

  • The portal will use SharePoint 2013 out-of-the-box management module to handle the portal pages administration, user groups' definition, user rights and permissions

  • Content Management System

  • Providing an authoring site for content authors to add/edit required contents

  • Authoring sites will support multilingual

  • Each language will have its own top level site collection in publishing view to allow search engines to show the differences in local search ranking for each language

  • Publishing workflow (two levels workflow) is implemented for approval / rejection of any new/ edited content


Training Services

  • All the training will be provided in Ananatara main premises in Qatar.

  • Provide training for two (2) internet Website System Administrators. The total training hours are 12 hours, 2 days, 6 hours per day

  • Provide Training for four (4) internet Website Content Editors. The total training hours are 6 hours, 1 day, 6 hours per day

  • Provide Training for ten (10) of Ananatara key employees. The total training hours are 8 hours, 1 day, 8 hours per day

  • System documentation as listed in the Deliverables section of the proposal

  • All deliverable documents will be in English language and soft copy and in ITWORX format

      • Deploy one SQL 2012 server as a backend database to host the ITWorx staging environment databases.

  • Updating documents (Graphic Design Concepts, Requirement, Test Cases, Deployment Guide, and Release Note) accordingly

These items are out of the delivery and price scope of ITWORX proposal:
Ananatara Website Solution

  • Any items not explicitly mentioned in the proposal scope

  • Integration with any system is out of scope of current proposal

  • Hardware installations and troubleshooting of existing and any H/W problems

  • Network installations and troubleshooting of existing and any network problems

  • Obtaining, installing and configuring SSL certificates

  • Any payment actions from the website

  • Updating the look and feel of the back-end SharePoint administration

  • Translating any data during data entry from Arabic to English or vice versa

  • Purchasing of any necessary software licenses

  • Deploying hardware acquired by Ananatara

  • Deploying operating systems, network modules, or drivers

  • Website domain and certificate purchase is out of scope

  • Single Sign On between proposed portal and other systems

  • Performance or security enhancements over SharePoint 2013 built-in modules

    1. Assumptions


ITWORX made the following assumptions while formulating the proposed solution:
Ananatara Website Solution

  • Exact requirements for the solution hierarchy will be gathered in the Requirements Gathering phase

  • Changes in scope due to requirements gathering phase will be re-estimated and in case extra effort are encountered ITWorx will issue a change request

  • It is required to get acceptance for all deliverables within three (3) days from delivery date.

  • The development phase will start after receiving a sign-off on the requirements

  • All screenshots included in the proposal are only for illustration purposes

  • Portal supports English & Arabic languages only

  • SharePoint Server Administration will be in English language only

  • Solution deployment, UAT and training are done one time in a centralized location

  • Infrastructure and hardware will be in place and ready before the deployment time agreed. This is a dependency for deployment

  • Any items that are not explicitly mentioned in ITWorx Solution Scope are implicitly considered out of the delivery scope & cost of this project

  • Resolution of website users must be higher than 1024 * 768

  • Content stored in authoring site collections must be indexed before it will be made available to publishing site collections. The search system only indexes items that are major versions. This means that the contents of publishing site collections will be shown to portal visitors after a configured time interval from publishing them in authoring site, meanwhile administrator can set a shorter or longer interval for content to be viewed

  • Responsive design will support devices with the following resolutions:

    • Web: 1024px to 1280px width

    • Mobile 320 x 480

    • Tablet 768 x 1024

    • Tablet landscape 1024 x 768

    • Supported Browsers are Safari for iOS , Chrome for Android, IE for Windows and Blackberry native browser


Training Services

  • Ananatara will provide training place and equipment adequate for the training

  • Ananatara will avail training workshop attendees according to the training plan schedule communicated by ITWorx Project Manager during the project planning phase

  • Training provided will cover ITWorx solution only and will not be extended to covering any other technologies or solutions


Infrastructure

  • All the solution physical servers Operating System, shall be ready with the latest updates

  • ITWorx will provide a production environment only, with no staging environment

  • The SAN connectivity shall be managed by the SAN provider

  • ITWorx will utilize the current Active Directory and Exchange environments

  • High Availability is considered in the production environment

  • The maximum expected number of visitors 5000

  • The System users are 10




Project Implementation
    1. Delivery by Best Practices


ITWorx has realized the value of employing best practices during project execution that significantly influence project success. ITWorx believes the following factors enable streamlining project delivery towards remarkable success:

  • Sufficient envisioning period through holding meetings with projects stakeholders to introduce ITWorx methodologies, define roles and responsibilities of parties

  • Project management discipline through dedicated Project Manager who oversees overall project progress, ensures team progress, and forces synchronization and clearness of requirements; regular and periodical communication to ensure alignment among project stakeholders; and interim review and sign-off of project deliverables by a single member
    1. Time Estimate and Deliverables


ITWorx provides herein a tentative project plan for Ananatara Website. The final project plan will be reached upon finalizing requirements gathering. ITWorx reserves the right to modify the plan in case of change in requirements. The preliminary estimated duration for Ananatara Website implementation for phase one is 3 months.
ITWorx requires mobilization period of 4-6 weeks upon receiving signed contract or Purchase Order.
The following subsections provide project phase's durations, a high-level plan illustrating phases overlap as well as the actual project duration. Deliverables subsection provides ITWorx deliverables associated with each project phase.

1.1.5.Project Plan Dependencies


ITWORX’ project plan is dependent on external factors that must be fulfilled to achieve successful project execution. These dependencies are identified as follows:

  • Deliverables are being reviewed and signed off according to the plan

  • Pre-requisites and dependencies that require involvement from Anantara are provided according to plan

  • Any delay from Anantara in any of the above sign-off of deliverables or non-availability of required environment may result in delay of dependent milestones; and thus may lead to delay in final delivery of the product

    1. Social Process


People's methodology for acquiring information has been changing significantly overtime. Previously most websites relied on providing information to their end-users, without really providing the capability for their end-users to interact with them. As social media began to prevail, end-users' expectations for interacting with the organizations have increased. End-Users expect to go directly to the Facebook page and ask a question, go to twitter and add a tweet or even open up YouTube to watch the latest advertisements and videos.
This trend of two-way communication allows companies to make good use of social media such as Facebook, Twitter and YouTube to promote themselves. Nonetheless, at the same time they also need to be sensitive to Facebook users’ preferences and behaviors in order to do a good marketing job through the social platform. It must be recognized that nowadays people are not passive anymore by satisfying with just absorbing information as given, but they also prefer to be able to interact with other people or giving out their own views on the internet – reflecting perhaps a subtle way to achieve self-actualization.
Through this understanding ITWorx proposes as part of the digital presence process, the incorporation of social media, by providing the following:

1.1.6.YouTube


ITWorx proposes to maintain the YouTube page for Anantara as part of the content management. The maintenance of the YouTube page will include:

  • Uploading New Videos

  • Organizing Videos



  • At a later stage; out of the current scope; once the website is live; comments and feedback management can be included as part of a more concrete content management process.

1.1.7.Twitter


ITWorx proposes to create the Twitter page for Ananatara as part of the solution. The creation of the page will include:

  • Personalization

  • Linking the twitter page to the website

  • Upload Bio

  • Updating Profile Picture

  • Updating the Theme and Background Color to be consistent with Anantara's web presence

  • Update the Twitter header image

At a later stage; out of the current scope; once the website is live; comments and feedback management can be included as part of a more concrete content management process.

1.1.8.Facebook Page


There are a number of reasons why Facebook pages are important for any business. From a search engine optimization perspective, most major search engines have both confirmed that Facebook has an impact on search engine rankings.
Facebook pages show up in the search engine results pages usually at a very high ranking so it's an essential way to drive traffic to both Ananatara's Facebook page and website.
Creating an online presence via a Facebook page helps build a connection with end-users. It builds creditability about the businesses and the services and/or products that it offers hence providing a better trust relationship between the end-user and Anantara.


  • As part of the solution ITWorx proposes to provide a customized Facebook page for Ananatara by providing the following:

  • Add Profile Picture

  • Updating the Theme and Background Color to be consistent with Anantara's web presence

  • Provide analytics for Facebook likes
    1. Content Management

1.1.9.Overview


ITWorx understands Ananatara’s need to manage its website, Facebook, Twitter & YouTube content; hence ITWorx proposes a fully managed outsourcing model that will help Ananatara achieve its purpose in its content management process.
Interaction with Ananatara's digital presence will be minimal until the project launch; hence ITWorx proposes a simplified content management process as part of the solution, another more concrete content management process will be devised based on the assessment at a later stage of the project; out of the current scope.
Content governance is the day-to-day detailed management of content delivery and style. The tools involved in content governance can and may include content workflows, editorial guidelines, style guides, editorial management boards, web content committees, publishing calendars, etc...
Content is managed by many stakeholders in any organization, consider the news and events that public relations usually handle and the latest researches that doctor's provide. When a number of stakeholders are involved it becomes a necessity for organizations to create a governance plan and a content management process in order to ensure that the quality of all content is up to the standards.
ITWorx proposes a content editing and management process that focuses on the communication and approval of content before being published, the below diagram depicts such a process:

Step 1

The Business requests a change in Ananatara content by filling in a form in which they define the "Reason of the Change" and "Content Availability"


Step 2

This content change request form will be forwarded to the "Marketing Coordinator" who will be responsible for verifying the received change and developing a draft Content Requirements document


Step 3

The draft Content Requirements document will then be forwarded to ITWorx Project Coordinator / Webmaster who will be responsible for fully analyzing the content change requirements and defining the needed activities:



  • Technical Components (Development) needed

  • Graphics design & Usability enhancements needed

  • Translation needed


Step 4

ITWorx Project Coordinator / Webmaster will be responsible for distributing the tasks (activities) over the relevant stakeholders, develop a plan for the delivery of these activities by the different stakeholders and finally receive and verify the performed tasks (activities)


Step 5

The accomplished content will then be forwarded to the Webmaster who will be responsible for testing the content before publishing (pre-publish testing) and also he will be responsible for communicating with Ananatara IT to prepare any needed IT related implementations. The Webmaster will then generate a draft content page


Step 6

The draft content page will be forwarded to the Ananatara "Marketing Coordinator" to check the look & feel, proof read the content and validate the User Experience. Marketing Coordinator will then mark the draft content page as “Finally Checked/Approved”


Step 7

The Finally Checked/Approved content is routed to the Marketing Director & relevant Business Heads to finally approve and content for publishing


Step 8

This finally approved content will be forwarded to the Webmaster to Publish.


1.1.10.Roles & Responsibilities


This section describes ITWorx proposed framework with Ananatara through a description of each role responsibilities. Upon proposal acceptance, the two parties will enter a contract formulation phase that will govern the future of the relationship.

1.1.10.1.Webmaster


The Webmaster role comprises of the following:

  • Responsible for the effective flow of information between various stakeholders involved in the Digital Content Management process

  • Responsible for managing the end-to-end content management process between ITWorx and Ananatara stakeholders through determining and assigning each task to its relevant owner

  • Implementing the agreed action plan, between Ananatara and ITWorx resources, to the agreed standards and deadlines

  • Meeting with Ananatara Approvers to have more details on comments provided to ensure Graphics Designers have full understanding on the needed updates

  • Leverages his/her technical knowledge to support in updating the content and maintaining the SharePoint portal, Facebook, Twitter and YouTube pages.

  • Responsible for ensuring SharePoint is compatible with operating systems and software used within Ananatara

  • Conducts the required system upgrades and reviews the health status of the portal

  • Manages, edits, uploads, and publishes of the content on the SharePoint portal

  • Manages access rights and grants permissions based on requests and according to Digital Marketing policies

  • Manages updates to information architecture and adds new pages using the existing page layouts

1.1.10.2.Artwork and UI Development


The Artwork and UI Development Team responsibilities comprise the following:

  • Artwork Team includes - Graphic Designers (GD) - whom will be responsible for enhancing the User Experience by enriching the graphic content of Ananantara public portal and create attractive campaigns with the following scope:

  • Graphic design updates by the means of:

  • Changing images

  • Image retouching and quality enhancing

  • Image optimizations

  • Graphics Illustration

  • GD will update, upload, and test the graphical materials based on the required objectives and provided graphics resources and materials from Ananatara

  • GD will ensure that the provided content complies with Ananatara standards. If the content has compliance issues or needs to be worked out, ITWorx will inform Ananatara in order to update the content.

  • UI Development team will be responsible for creating small widgets or web parts required as part of the project including the following types only:

Forms: Forms that add data to a backend SharePoint list (using the form report wizard only with no coding)

JavaScript based widgets: Widgets that have client side JavaScript code only with no server side code


1.1.10.3.Copywriters & Translators


The Copywriter role comprises of the following:

  • Website content copywriting for the required content additions

  • Website content translation for the required content

  • ITWorx will provide Ananatara with the following Copywriting and Translation tasks:
