Great Lakes Intercollegiate Athletic Conference

Action Items

Sport: Women’s Tennis
Sports Chairperson: Tomas Menec (Findlay) Mgt. Council Liaison: Dave Marsh (Northwood)
Date: December 11, 2012
Action Item Summary
Action Item #1: To approve 2012 GLIAC Women’s Tennis composite schedule “C” (See attached document).
Moved by Zane Colestock – NU; Second by Bryan Whittaker – WU
Coaches vote: 14-1-0 in favor of.
Budget Implications for the Conference (explain in detail)

* None
Action Item #2: To amend GLIAC Tennis Operating Code 2.A.xvi.1 to read:

Three new Wilson U.S. Open Heavy Duty balls are required for doubles, the first set of singles and, if necessary, the third set of singles.
Coaches vote: #14-0-1 in favor of.
Budget Implications for the Conference (explain in detail)

* None
*Rationale – Often players did not feel the need for new balls after the second set of play. The additional cost of automatically using new balls after each set of play was deemed unnecessary by the coaches.

# - The GLIAC Men’s Tennis Coaches will have to vote on this as well.

Additional Notes:
The GLIAC Women’s Tennis coaches had a long discussion on the topic of scheduling formats for future schedules (2014 and beyond).
The consensus of the group was that the single round-robin, 14-match regular season conference schedule should be maintained.
The group also felt that it was no longer necessary to hold a weekend open for the ITA National Tournament, which has been done historically. That would add another weekend to the schedule.

The group would like the conference office to come up with a couple of scheduling models that could eliminate some, if not all, of the three-match weekends and the distance between some of the travel partners (ie. MTU-SVSU).

Appendix L

Dear All,

The Division II National SAAC met in Indianapolis over the weekend of the 9-11 November.
The meeting was very successful and gave the National SAAC an opportunity to share ideas, work on legislation and to meet with representatives from the Faculty Athletics Representative Association (FARA) and also Dr. Mark Emmert, President of the NCAA.

During the meeting we identified a number of key take-a-aways that we wanted to share with our conferences and member institutions;

1. Faculty Mentor Award -
National SAAC has been working on the creation of an award to celebrate the efforts of faculty and the help that they provide to student-athletes. In discussions with FARA the importance of this relationship and the need to celebrate it was confirmed. Please be on the look out in the New Year for the Faculty Mentor Award and also as a SAAC member ask yourself do you know who your Faculty Athletics Representative (FAR) is? If not, or even if you do, why not invite them to your next SAAC meeting so that they can get involved and see all the great things you are doing!
2. Communication –
Priority 1.5 of the NCAA Division II Strategic Plan is to - Strengthen student-athlete communications and voice in the governance process at the local, conference and national levels.
The Division II SAAC has been given oversight of this priority and aims to increase communication at all levels. Part of our challenge is communicating what is happening at the National SAAC to our conferences and the member institutions. As part of this we will be reporting back our activities and take-a-aways from our meetings on a more regular and effective basis. This email is part of this! In addition to communicating activities we want to know about yours and what you are doing in your SAAC's. We want to publicize your achievements and community service and engagement successes. So please let me know of anything that you would like shared through the Division II websites or social media outlets.
3. Legislation –
Thank you for your completion of the legislative grids. I was very happy and proud to submit such a high number of grid from our conference. The legislative grids really do provide student-athletes with the opportunity to voice their opinion on what is happening in Division II and I am glad so many WVIAC schools did so. Legislative grids were collected from all conferences and the voting and comments compiled to form a student-athlete stance on the legislation.
4. Model SAAC Document. –
National SAAC with the help of NCAA staff has been working on the construction of a model SAAC document, with the aim of providing administrators and student-athletes with a set of examples and guidelines on how to run a successful SAAC. The final draft of the document was approved and should be with you soon, so keep an eye out for it.
As always please don't hesitate to contact me if you have any questions or anything you would like me to raise at national SAAC, it is a great honor to represent you.
Thanks,
Trevor Reeves

Anticipated Outcome and Measure of Success Examples
SPO1
Initiative: Conference SAAC Fall & Spring Meetings
Providing the funding necessary to cover expenses related to the continued schedule of bi-annual meetings allows for enhanced participation by all 16 institutions sending two representatives per meeting. The Conference SAAC meetings are a valuable means of soliciting student-athlete input and opinions on national and conference topics. The forum provides for extensive discussions with the campus SAAC leadership and has more direct influence in on-campus initiatives including engaging them in the DII platform in a more meaningful way. Our goal for the spring 2012 meeting is to bring in an outside speaker. The conference office will ask for input from the student-athletes as to the suggested topic area for the speaker. By soliciting input on the front end of what they hope to gain from this speaker's attendance, we can measure our success by following up for post-meeting input and the creation of an action plan to carry the message back to the campus SAAC.
Suggested Outcomes:

  • Retention/Graduation Rates

  • SA Satisfaction with College Experience

  • Overall GPA

Initiative: Student-Athlete Leadership Programming
The idea for this new initiative came from the responses on our assessment survey. Our plan is to offer two different leadership workshops for student-athletes; one in the fall and one in the spring. We will bring in a speaker for both workshops and provide travel expenses for attendees. We are thinking of having each school send 3-4 student-athletes per session. The outcome of this programming will be seen mainly on-campus and at athletic competitions. We estimate this programming will provide leadership training and opportunities to 64-75 student-athletes who will be provided an opportunity to hone skills or develop new ones while also being exposed to a variety of future options within the field of intercollegiate athletics (administration, coaching, officiating).
Suggested Outcomes:

  • Placement at Graduation

  • Overall GPA SA

  • Wins

SPO2
Initiative: Regional Rules Seminar Travel
The Regional Rules Seminar is an important educational and professional development tool for compliance coordinators (CC). In the past three years we have been able to provide funding to support 12 different compliance coordinators to attend a regional seminar. Our goal is to have every coordinator attend a seminar at least once every four years. By funding four each year, we feel we will be able to achieve this goal. Conference subsidizing of travel to regional rules remains critical to institutional attendance as the tightening of professional development dollars has led to financial pressure in athletic departments and an ongoing dependence to find new and alternate sources of funding.
Suggested Outcome:

  • Decrease in violations

  • SA Satisfaction with College Experience

Initiative: CoSIDA Travel
With increased funding available and a conference focus on professional development, the hope is to have more Sports Information Directors attend CoSIDA. The Conference funded three individuals in 2009 and four individuals in 2010 to attend the CoSIDA Convention. We hope the funding will assist in getting at least 25% of the SIDS to attend CoSIDA and more importantly SIDs that have never attended. The SIDs have an important role within Division II to “spread the word” about the platform, key initiatives and ongoing efforts to engage our communities. If athletics is the front porch to an institution, often the SID is the person at the door. Our SIDs need to be more engaged in the bigger picture issues as we move toward expansion of our online presence and new/social media initiatives. We will view success in this area as having engaged SIDs that can speak with authority on the DII platform and who stand ready to spread the word.
Suggested Outcome:

  • Increase in attendance at events

  • Increase in external funding

SPO3
Initiative: Funding will be made available in a competitive grant program for member schools to promote attendance by Athletic Trainers at professional development opportunities [by application]. Each institution could fund staff or students (undergraduate and/or graduate) to attend state, district or national workshops and the like. Member schools will be required to submit an application by a September 30 deadline, with the conference staff and ad hoc grant committee then evaluating each request and awarding funds. Funds will be awarded according to the merits of each request – ensuring the proposed use aligns with this Division II strategic positioning outcome area – and with preference given to new initiatives that could serve as a model program to be implemented on other member campuses.
We anticipate this initiative will lead to our athletic training staffs being better informed and more efficient. It will result in more confidence among student-athletes in their training staffs. We anticipate the training staffs will be able to provide professional development for staff members beyond just the head trainer, helping more people to stay abreast of current trends in the field. We will measure this initiative’s level of achievement by tracking how many schools apply for the funding and how many people are exposed to professional development through this program. We will ask athletic trainers to provide a statement during the application process, to report back at conference meetings, and to share best practices with other member schools.
Suggested Outcome:

  • Decrease in Injuries

  • Decrease in Medical Expenditures

  • Wins

Initiative: Sportsmanship program

The outcome of this effort will be to bring attention of coaches, student athletes and spectators to the conference concern regarding sportsmanship and reinforce the NCAA commitment to this as well. The goal is to create a better environment for participants and spectators and to reduce conflicts and ill feelings that have occurred. Follow-up will be done with member schools to track participation and input at meetings as well as assessing improvements in fan behavior at contests. Member institutions will discuss sportsmanship ideas and efforts at each conference meeting and annual initiatives will be discussed and brought back to campuses for development and evaluation

Suggested Outcome:

  • Increase in attendance at events

  • SA Satisfaction with College Experience

SPO4
Initiative: Funding will be used to purchase conference and Division II co-branded signage for conference championships and member schools. This will include banners and other forms of signage that display both the conference and NCAA I Chose Division II marks and imagery.
We anticipate this program will result in increased exposure for conference and Division II images. There will be more awareness of such images, and improved branding could lead to increased marketing and partnership opportunities. We anticipate that conference logos and messages, as well as those of Division II, will be displayed at all conference facilities and events. We intend to measure the success of this initiative by tracking the increase in imagery at facilities.

Suggested Outcome:

  1. Increase in attendance at events

  2. SA Satisfaction with College Experience

Initiative: Conference PSA and promotional materials

The development of a Conference identity spot will assist in packaging and telling the story of broad based athletic and academic success within Division II. We will utilize Division II messaging and elements of the platform and attributes to tell our story in the form of 30-second PSAs. We intend to use video to update the spots that were last created in 2009. We will measure success by offering wide distribution of the spots and attempting to quantify recognition of the spots at the conclusion of the year

Suggested Outcome:

  • Increase in attendance at events

  • Increase in external funding

SPO5
Initiative: Member Institution Diversity Internship
By funding an internship, the conference seeks to develop long term results in the area of gender and ethnic diversity. The Conference will utilize this grass roots development of future administrators and/or coaches as a strategy to broaden future candidate pools. The Conference will evaluate each applicant institution in terms of its needs to diversify its staff. A report by the successful institution will be provided to the Conference at the end of the 10 month period that will illustrate the activities of the position over the year and evaluate its effectiveness in developing the young person as a future contributor. One additional measure of success will be the successful placement of this person in a full-time position upon completion of the internship.

Suggested Outcome:

  • Placement at Graduation

Initiative Travel to the NACWAA Convention
NACWAA is an organization that is design to support and enhance female athletics administrators and coaches. The NACWAA Convention is a means for professional development for females in athletics. With funding available and a conference focus on professional development, the hope is to have more female administrators and/or coaches attend the NACWAA Convention. The past three years, we had two attendees in 2008, six in 2009, and three attended in 2010. An increase in the presence and number of female administrators will strengthen the role of the SWAs and females, in general, within the conference leadership.
Suggested Outcome:

  • SA Satisfaction with College Experience

  • Graduation Rates of Minority Students

  • GPA of Minority Students

Great Lakes Intercollegiate Athletic Conference (GLIAC)

Baseball Ad-Hoc Scheduling Committee
November 2012
Committee Members: Jeff Blair, Paul Page, Jim Givens, John Schaly, Ryan Kelley
The Baseball Ad-Hoc Committee, consisting of the members listed above, had the following discussion to develop a philosophy, criteria and/or strategy to help GLIAC member institutions gain a greater access or ensure an equal representation of member schools into the NCAA postseason. The committee members feel there has been good representation from the league in recent years in the postseason and a defined philosophy or strategy is not needed at this time. With limited open dates, weather concerns and location affecting scheduling philosophies, it would be difficult for member institutions to develop an improved strategy. The members, however, would like to recommend the following suggestions to the conference coaches to consider when developing their schedules:

  1. Schedule winnable games vs. Division II opponents.

  2. Schedule in-region opponents when available, but quality Division II opponents are just as important.

  3. Schedule opponents with a winning percentage of .650 or higher.

The committee also suggests looking at the development of a preseason cross-over tournament. The tournament could be designed in conjunction with the GLVC, PSAC and/or WVIAC.

  1. Develop a cross-over tournament with the GLVC to be played at a neutral site or home site of a participating institution that rotates between conferences each year.

  2. Develop a cross-over tournament with GLVC for Michigan schools and PSAC/WVIAC for Ohio schools with the same concept as above recommendation.

The committee felt it was important to note that the GLIAC needs to continue to work toward consistently having more teams in the league with winning records. This concept would ensure that the GLIAC maintains its competitiveness across the board, not just in the region but at the national level as well.

Softball Conference Call

Scheduling Considerations and Postseason Advancement

December 5, 2012. All head coaches were present on the call in addition to Jeff Ligney (conference office) and Rob Fournier (softball liaison). The group discussed the challenges regarding postseason opportunities in softball and the scheduling philosophy with the GLVC to maximize those possibilities. The following parameters were discussed and endorsed to be presented to the EC in January

1. Should we continue to schedule GLVC institutions? The consensus was yes we should.

2. There was much discussion regarding a volleyball-like crossover tournament to provide a competitive forum to play the GLVC without the disadvantage of always playing at their sites. After much discussion, the “best option” would be a pre-season crossover at a neutral site (Louisville was mentioned) to participate in a series of games. One built in disadvantage is that those teams already have some games completed but it would provide a matchup opportunity. Many GLVC schools do not utilize Florida travel because of their warmer climate opportunities and the other impediment that vacation times vary for schools.

3. The group consensus was that the current schedule (Conference) of games should not change. More scheduling would present “unbalanced” participation challenges/travel.

4. The question was presented: “should institutions play GLVC schools without a promise of a return game?” This was to address some of the inequity that might impact postseason comparisons in regional rankings. The group was pretty split on this question – 7 favored not playing GLVC institutions unless they returned the game, 5 were opposed to the guideline and 2 abstained.

This approach would not impact GLIAC institutions that had GLVC schools travel to their home sites for games or GLVC contests scheduled at neutral sites.

5. The group felt strongly that another way to advance postseason opportunities would be to play more early games in warmer climates (prior to the GLIAC regular season) and create more favorable matchups/opponent scheduling but would likewise necessitate larger travel budgets in order to accomplish that objective. This would permit institutions to get out sooner and get games completed before playing GLVC schools and offer scheduling opportunities in locations that are neutral.

Football Ad – Hoc Non – Conference Scheduling Call

Committee Members present on the call: Mike Watson, Tom Kearly, Bill Goldring, Paul Winters

11/20/12 at 10:00 a.m.

The Football Ad – hoc Committee on non-conference scheduling discussed the following items concerning scheduling philosophy and how it impacts the GLIAC.

  • Obviously we went into this discussion only talking one game.

  • In football scheduling, the sport of football should be the least worry of the mandate by the University Presidents and Management Council on missed class time. Football student – athletes for the most part miss less class time than any other sport.

  • All thought it would be awesome if we could develop a scheduling alliance with the GLVC. It would be for the benefit of the GLIAC if we were able to put that together.

  • General thought that trying to schedule an 11th game outside of the conference is tough now and with multiple open dates for the future schedules would be almost impossible.

  • The question was raised was a ten game league schedule the best for the GLIAC. The general thought was yes, the 10 game league schedule was the best for everyone.

  • The coaches thought that non – league scheduling of regional games was better than non-regional games for their schools.

  • The idea was discussed about contacting the Lone Star Conference about participating in their football invite early in the season at Cowboy Stadium. Coach Winters thought it was a good idea especially if we could make it a Cowboy Stadium – Ford Field game alliance exchange.

  • A 10 game schedule vs. an 11 game schedule does not matter as much to the regional selection committee for the playoffs as much as wins/ losses and strength of schedule.

  • For the 14/15 seasons on scheduling the coaches on the phone strongly suggested for the league to look at random scheduling with no north & south divisions.

  • Everyone on the call also liked the first schedule from September 12th if we didn’t go with the random scheduling.

  • No one on the call really believes we have any answers for scheduling non – conference games.

Volleyball Ad-Hoc Scheduling Philosophy/ Criteria Committee

Committee Members present on call: Brandi Laurita, Kris Hengesbach, Chris Gravel, Forrest Karr, Will Stanton

10/18/12 11am

The Volleyball Ad Hoc Committee had the following take away items concerning scheduling philosophy and how it is affecting Post Season Play for GLIAC Teams:

- Volleyball is unique in that it already has a GLIAC/ GLVC crossover event that helps alleviate many of the issues the other sports are having. It is the committee’s recommendation that the Cross Over event continues (knowing that the format, facility, management, etc. may need adjustments).

o Items that may need to be clarified:

 Are there areas in the cross over budget that could be cut to help offset the cost of officials and other necessary expenses?

 Should the entry fee for each team be raised to help cover the cost of the tournament? (the committee still felt it was important to keep the additional fee if stat help was not available from the institution)

 Would it be beneficial to move the tournament to a campus site if the budget it to small to continue the tournament?

 When will the new conference, GMAC, enter our region and when are they eligible for post season play?

• Once we know when they will be eligible we will have to look more at if we want to add this conference to the crossover tournament and how that will change the dynamics of the tournament.

- The Committee felt that it was important to look at volleyball separate from basketball because of the regional ranking criteria differences between the two sports.

- The GLIAC Volleyball Schedule is currently at 18 games (of 26 allowable dates of competition) and felt that this was a good schedule as long as the GLIAC/ GLVC Crossover was a part of the schedule.
