Michigan Alpha Alumni Board Structure
President

  • Attend the monthly alumni board meeting.

  • Preside over the officers of the alumni board.

  • Set the overall direction and vision of the combined efforts of the board and undergraduate chapter, and ensure that board officers are working to implement those goals.

  • Communicate regularly with SigEp Headquarters and District Governor.

  • Recruit additional members to the alumni board when they are needed.

  • Preferred background and interests:

    • Management/Leadership

    • Organizational Development

    • CEO

    • Recruiting

Director of Housing



  • Attend the monthly alumni board meeting.

  • Coordinate the physical affairs of the chapter house, including the landlord, service companies, and repairs/improvements.

  • Work toward finding permanent, long-term housing for the chapter.

  • Work with the undergrad house manager on regular maintenance of the house

  • Work with the undergrads on housing contracts, check-in procedures,
    and checkout procedures.

  • Liaison with Lambda Chi on Housing Issues.

  • Approve any renovations to the facility.

  • Develop, with the board, a long-term plan for our own facility.

  • Preferred background and interests:

Treasurer



  • Attend the monthly alumni board meeting.

  • Develop an efficient and effective financial accounting and reporting system for the alumni board and chapter.

  • Develop a long-term plan that will provide for chapter and alumni board financial stability and to ensure the chapter can provide the resources needed for the best possible fraternity experience.

  • Ensure that the chapter and alumni board are collecting 100% of its receivables.

  • Develop and execute a system to mentor/monitor the undergraduate VP of Finance.

  • Preferred background and/or interests:

    • Financial management/accounting

    • Investments

Director of Alumni Relations



  • Attend the monthly alumni board meeting.

  • Ensure consistent communication, via postal mail and electronic means, between the undergraduate chapter and its alumni and the university.

  • Hold consistent programming for alumni and university faculty/staff.

  • Develop and implement a fundraising campaign to bring additional resources for the chapter/alumni board for educational and housing purposes.

  • Plan Alumni Events:

    • Alumni/Senior Dinner

    • Alumni Golf Outing

    • 3 home football games (including Homecoming)

  • Preferred background and/or interests:

    • Constituent Management

    • Event Planning

    • Fundraising & Development

Parent Advisor



  • Attend the monthly alumni board meeting.

  • Plan events at the Chapter House for parents and university faculty/staff.

  • Ensure consistent communication, via postal mail and electronic means, between the undergraduate chapter and its parents and the university.

  • Develop and implement a fundraising campaign to bring additional resources for the chapter/alumni board for educational and housing purposes.

  • Preferred background and/or interests:

    • Parent of Current Undergraduate

    • Event Planning

    • Fundraising & Development

Secretary



  • Attend the monthly alumni board meeting.

  • Write and review all contracts, membership agreements, bylaws, constitution, and articles of incorporation filed with the state.

  • Ensure that the alumni board’s incorporation with the state of Michigan is current.

  • Serve as the alumni board attorney when legal proceedings are necessary.

  • Maintain an accurate record of documents, meeting minutes, and other records, including serving as the alumni board/chapter historian.

  • Preferred background and/or interests:

    • Attorney/legal background

Chapter Counselor



  • Attend the monthly alumni board meeting.

  • Mentor the chapter executive board, helping them to set goals consistent with their stated priorities, and to execute those goals.

  • Attend two executive board and two chapter meetings per month to ensure that the chapter is progressing toward its goals.

  • Oversee the transition between executive boards.

  • Assist in organizing chapter retreats to involve the entire chapter in the goal-setting and decision-making process.

  • Preferred background and/or interests:

Balanced Man Program Steward



  • Attend the monthly alumni board meeting.

  • Mentor the VP of Development, VP of Programming, and their respective cabinets in providing an educational experience consistent with their stated priorities.

  • Ensure that the chapter is operating the Balanced Man Program in the 80th percentile.

  • Attend one development cabinet meeting per month to mentor and advise the Development Team on achieving its goals.

  • Help develop an overall plan for the Balanced Man program.

  • SigEp Headquarters will provide training on the Balanced Man Program.

  • Preferred background and/or interests:

    • Education

    • Human Resource Development

    • Leadership development

Recruitment Advisor



  • Attend the monthly alumni board meeting.

  • Mentor the Vice-President of Recruitment and the Recruitment Team, helping them to set the chapter’s recruitment goals and to achieve those goals.

  • Assist the chapter in the development of a Recruitment Plan, and to execute that plan.

  • Attend one Recruitment Team meeting per month to mentor and advise the Recruitment Team on achieving its goals.

  • Work with the VP Recruitment for undergrads on this scholarship.

  • Preferred background and/or interests:

    • Sales & Marketing

    • Public Relations

    • Knowledge of SigEp Recruitment Programs (including the Balanced Man Scholarship)

Resident Scholar



  • Attend the monthly alumni board meeting.

  • Mentor chapter members on academic issues, including planning and follow-up on the plan, and connecting students with available campus academic resources.

  • Mentor chapter members on personal issues when needed, connecting them to the resources available on campus as needed.

  • Hold 2-3 office hours per week for SigEps between the chapter house and campus.

  • Host 1-2 academic programs per semester for the general chapter.

  • Preferred background and/or interests:

    • MUST be a Graduate Student at the University of Michigan.

    • Mentoring/coaching.

    • Knowledge of university academic resources.

    • Resident of the Chapter House.

Additional Officers:


Each officeholder will determine the needs for and appoint officers to work with him to achieve specific tasks (for instance, the Director of Alumni Relations might have a Newsletter Chairman). These chairmen would not necessarily need to attend alumni board meetings, or even live in the area local to the chapter, provided that they can still do the job effectively.
