Busy Family Guide

Here you’ll find new ideas to get more results in less time.

My Family Is SO Busy. How Can We Make a Difference In The Least Time?

One word: EMAIL! We’ve created sample email letters you can “make your own” and send out to friends, family and coworkers that can have a huge impact in a matter of minutes. (If every Penny Creek family sent an email to 10 potential Frog Fun Run Sponsors, we could reach 7000 people in just a few days!) Click here for a child’s version and click here for an adult version of our sample letters. You can create your own Fun Run “campaign headquarters” from the warmth and comfort of your home…and make a huge impact toward reaching our goal.

We don’t have time to find sponsors; can we just make a donation from our family?

Of course! We know how busy ALL of our families are and any form of support is greatly appreciated!

We Are Constantly Driving Our Kids To Sports Practices, Games and Other Commitments. How Can We Make A Difference?

  • Use “drive time” to your advantage. Before you hit the road, think about which friends or relatives live in the direction you are going…stop by to say hello and ask them to be a sponsor!

  • While waiting for your child’s activity to be over, use the phone to make five phone calls to friends and family; asking them to be a sponsor in our Fun Run.

  • After your team or club meeting, grab a snack or meal at your favorite place and ask the store manager if he or she would be a sponsor in our Fun Run. Even if it’s only for $5 or $10, every little bit helps!

  • Make “every day” errands a growth opportunity.

  • While bringing the kids along to run errands, ask your child to talk to someone they have met about our need for sponsors. It’s a great way to stretch comfort zones, practice manners and grow public speaking skills!

  • Think about where/who your family does business with frequently: dentist, hair salon, landscaper, doctor, car dealership. Tell them how important it is to have our PTA funding and ask them to be a sponsor! (Be sure to remind them their donations are tax deductible!)

  • If you are calling to schedule an appointment in the future, ask them to support our cause, the same way you have supported their business over the years.

We Want To Help, But We Have Other Fundraisers To Support This Fall. What Makes The Frog Fun Run Different From The Rest?

• Tell businesses, bosses and coworkers: all donations are tax deductible! Other fundraisers may not provide a tax deduction benefit. Penny Creek’s PTA is recognized as a 551(c)3 non-profit organization by the IRS -- which means all donations are fully tax deductible.

• Benefit is tangible and lasting. Fun Run Sponsor donations will help fund an entire year’s worth of activities for the school community – these contributions will directly affect the lives of your children (and hundreds of others) for many years to come.

Kids: Here are some things you can talk about when asking for Fun Run Donations!
“Hello. I’m a student at Penny Creek Elementary School. Our school PTA is raising money to support our teachers and the school by holding a “Frog Fun Run” on October 30th. Will you please become a donor for me?
Here is why the Fun Run is important to my school. School has just started and the PTA bank account needs some help. Your donation to the Frog Fun Run will help us ensure so we can meet our goals this year, which are:

  • To provide money to our classrooms to fund activities such as Art Docent, Science Day, Field Day, books, Carnival, etc.

We are trying to raise $20,000 this year. My personal goal is $55. Will you provide a donation to help me meet my goal? Your donation is fully tax deductible!! Here’s how:

  • Give me your donation by October 30th (Checks payable to: Penny Creek PTA)

OR

  • Use our secure donation website at www.pennycreekpta.weebly.com

Please check with your company to see if matching charitable donation funds are available.”

Here are some other tips and ideas you can use to increase your Fun Run donations!

  1. Email, email, email! Be sure to email family and friends, both near and far, to ask for Fun Run donations!

  2. Send out the link to our PTA website for easy online donations! Making donations online is the easiest way to help! No checks to write, no money to collect—just visit www.pennycreekpta.weebly.com and that’s it!

  3. Corporate Matches! Be sure to ask your donor if their company participates in matches for charity. It’s an easy way to double your donations.

  4. Facebook! Does your parent/guardian have a Facebook page? Ask for permission and get the word out to family and friends about your upcoming Frog Fun Run.

  5. Save your money! If you earn an allowance or if you can do extra chores for extra change, save it up to increase your donation.

  6. Ask, ask, ask! Good luck in raising funds for the Frog Fun Run!

  7. Visit our PTA website for more ideas! Go to www.pennycreekpta.weebly.com for more tips!!!

Common Q’s and A’s

Here are answers to some common questions.

What PTA programs will be funded this year?

Many of our programs and events such as the Field Day, Art Docent, Science Day, and Family Nights are designed to serve Penny Creek families and usually “break even” with expenses. Participation charges are minimal; the intent is to help create a sense of community in our school and have fun together. The PTA often subsidizes these events with funds earned earlier in the year. In addition, we pay for “extras” the school district does not, such as student enrichment programs, Aquasox Reading Program, teacher grants, school landscape maintenance, Math and Science Nights, school assemblies, etc.

If we are not able to help raise funds, can my child still participate?

Absolutely-- the Frog Fun Run is for EVERYONE. Every child will receive a small prize and hopefully have a great time doing it!

We don’t have time to find sponsors; can we just make a donation from our family?

Of course! We know how busy ALL of our families are & any form of support is greatly appreciated!

Is the number of laps my child runs important?

No, number of laps will not be counted. One of the goals is to get kids moving…and have fun while doing it – no matter what age or how athletic they are. While some children may decide to run, many will be following the “activity station” signs that suggest “dancing”, “skipping”, “marching,” or “doing the limbo” to the energetic music.

What if more than $20,000 is raised?

Any amount raised over our goal of $20,000 will go toward other PTA projects such as equipment the teachers may need, or will be passed on to the next school year’s programs. We have earned a reputation for planning well and spending wisely.

How do Matching Funds work?

Since the Penny Creek PTA has non-profit status with the IRS, it means we are eligible to receive “Matching Funds” from companies who provide them. With these program’s an individual contribution can increase, sometimes double in amount! For instance, if you or someone you know works at Boeing or Microsoft, a $60 donation to the PTA’s Frog Fun Run could become $120 by simply filling out an additional form the company provides! You’ll find a list of Companies Who Match Charitable Contributions on our website, www.pennycreekpta.weebly.com. Perhaps you know someone who works at one of these companies and can help us “multiply” our donations! Note: When your child turns in their sponsorship packet, please include a printout of the online matching fund stating Penny Creek PTA as the recipient, with your child’s Sponsor Form so we can count the matching donation toward the student’s cumulative prize level. Thank you!

Corporate Matching Funds or Gifts

Many corporations will match donations to a non-profit organization; please refer to the list below to see if yours is one of them. The company web site should have a form employees fill out to apply for a matching donation (also sometimes called a matching gift). If you do not find one on the company web site, a human resource representative at your company should be able to provide you with one.

PTA Info You Will Need to Fill Out Matching Donation Form:

  • The exact name of our organization: Penny Creek PTA

  • Our charity EIN number: 91-1895184

  • Contact name within PTA organization: Linda Evans ( lindarayevans@comcast.net)

  • Exact address: Penny Creek Elementary School, 4117 132nd Street SE, Everett, WA 98208

  • Web site: www.everett.k12.wa.us/PennyCreek

  • Charity Description: Penny Creek PTA partners with educational staff and the community to enhance curriculum and raise funds to support the school. Currently the PTA is promoting the “Frog Fun Run” to gain sponsors and raise funds for 20 programs and 30 events to support students, staff and families.

After You Have Submitted the Matching Donation Form:

  • You should receive some type of confirmation from your company on whether your request for a matching donation was approved. This could be in the form of a letter or email your company generates and sends to you.

  • Please send a copy of this confirmation with your child’s Sponsor Form so we can count the matching donation toward the student’s cumulative prize level.

This is not a complete list of all companies who participate. Please ask your employer if you do not see your company’s name on list.
