Anytime anywhere learning – using Office 365 on your mobile device


One of the best features of office 365 for Education is that it can be used on almost any device. Provided you have an internet connection, you just log in and all your services, tools and files are available for you to use wherever you are. Because Office 365 sits in the cloud and not on a specific computer, learning really does become anytime anywhere.

  • Office 365 will work on any mobile device. This includes your smartphone and Tablet.

  • Office 365 will work on Windows, Apple, and Android devices.

There are two ways in which you can use office 365 on mobile devices;

  • Use the web browser installed on your device. Office365 is based in the cloud and so can be accessed from most mobile web browsers.

  • By using Native Apps. These are apps which give you direct access to the different parts of Office 365. There are native apps for Outlook (which includes email, calendar and contacts), SharePoint Sites Newsfeed, Lync, OneDrive, Skype and Yammer.

  • You can also download Native Apps for the different parts of the Office 2013 tools, including Word, PowerPoint, Excel and OneNote.

Native Apps can be downloaded to all mobile platforms – however Android is less well supported with not all versions of the operating system able to support the apps. The only Office 2013 apps currently available for Android are Yammer, Skype, Outlook and OneNote (although there is a Microsoft Office Mobile app which gives access to existing documents). Please read through this guide for more detailed information.

  1. Using Office 365 on your Windows mobile device


There are two ways in which you can do this:

  • Sign into Office 365 using the web browser to access the log in page at http://login.microsoftonline.com/. You will then be able to access all your office 365 services from the usual dashboard including the online versions of the office 2013 productivity tools.

  • Download the different apps from the Windows Store. The following screenshot shows the office 365 native apps downloaded to a Windows 8 Tablet device;

  1. Using Office 365 on your iPad


As with Windows devices, there are two ways in which you can do this:

  • Sign into Office 365 using the web browser to access the log in page at http://login.microsoftonline.com/. You will then be able to access all your office 365 services from the usual dashboard including the online versions of the office 2013 productivity tools.

  • You can also download the different Office 365 component apps from the Apple App Store. The following screenshot shows the available Office 365 native apps (Lync, Yammer, Outlook, Skype and SharePoint Newsfeed) downloaded to an iPad Tablet device;

The device in the screenshot has the office 2013 apps as well as those for the different parts of Office 365. If you don't have Office 2013 downloaded to your iPad, you can still use the free part of Office for iPad to reading, viewing and presenting your Word, PowerPoint, excel and One Note files.

You do need an Office 365 account and/or a valid Office Pro Plus licence in order to be able to create and edit files as well as storing them to OneDrive. More details on the various ways of getting Office 2013 on your devices can be found by going to http://office.com/GetOffice365.

  1. Using Office 365 on Android devices


As with both Windows tablets and iPads, there are two ways of doing this;

  • Sign into Office 365 using the web browser to access the log in page at http://login.microsoftonline.com/. You will then be able to access all your office 365 services from the usual dashboard including the online versions of the office 2013 productivity tools.

  • Download the apps from the Play Store. However due to the more fragmented nature of the Android platform, not all versions support all the apps that are available (for example, the Outlook App only works on Android 4.4 KitKat and subsequent versions).

  • OneDrive, Outlook, SharePoint Newsfeed, Yammer, and Skype are all available. Office 2013 is now supported on Android devices. The online versions are available using Office365 accessed through your browser.


Student Advantage – Free Office 2013 for Students


Help your students unleash their creativity and really harness the power of Office 2013 across all their devices.

Using Microsoft’s Student Advantage offer allows your students to download office 2013 Pro Plus on up to five desktop/laptop devices and up to five mobile devices (including tablets) when your organisation purchases Office 365 Pro Plus for staff/faculty. You can see these downloaded apps for these in the screenshots for this guide.

You can also take out an Office Home subscription which gives you downloads on five desktop/laptops as well as up to five mobile devices. It is worth taking advice on the most cost effective way to get these extra services for your staff and students. User Scenario - A Typical Morning in the life of Joey

Connecting your learning to your life with Office 365


Joey is a student who lives life on the move. He likes to stay connected to his network wherever he is. He uses his laptop in the school classroom, his smart-phone on the bus and his tablet when he's hanging out with his friends in the coffee shop or at their houses.

 

Before Office 365, keeping his studies up to date and handing in assignments has always been a challenge for Joey as he has had to be either at school or at home so that he can access his files on the school network or from a flash drive. Keeping different versions of files up to date with the various changes he makes has also been hard work - it is easy to lose the latest versions of work this way. Joey and his classmates have tried various different ways of keeping up to date but with Office 365 for Education, working in several different locations and on multiple devices is a breeze!



 

No matter where he is, or on what device he's got to hand, as long as there's internet access, Joey can stay connected to his learning. And even if there is no internet connection, Joey can still work offline on downloaded copies of his files safe in the knowledge that as soon as there is a connection his files will sync with Office 365 and stay updated with the very latest changes. He will also see any changes others have made to shared files.

 

And Office 365 lets Joey do much more than just keep up to date with his work. He can use Yammer for social networking with his friends. He has downloaded the yammer app for both his smart-phone and his tablet (they are available for Apple and Android as well as Windows devices) and after going through the one-time account set up from his Office 365 homepage and then logging into the apps, he can stay connected in touch with what's going on in his world wherever he is - on the bus train or car, in school, or just out and about. He can attach files or images to his Yammer messages so it's great for sharing those all-important selfies or even school work files. He can also use instant messaging to stay in touch with school friends and teachers by going to his Outlook contacts section (it's called people in Office365).



 

Just check out a typical morning for Joey and Office365 for Education.

 

Joey is an early bird - he's usually up with the Lark on weekdays. As soon as he wakes, he grabs his phone and checks out the latest on Yammer. He notices his friends have been posting messages in their year group network about the latest Maths homework from Mrs DeLuca.



Quadratic equations are a mystery to Joey, but he sees that his friends have been working on a help-sheet one of them has downloaded after a Bing Web search and shared a link to OneNote. Joey quickly follows this link and finds that his friends have been working together in a shared OneNote workbook to try and help each other by creating a Quadratic Equation help sheet resource. He changes to his larger tablet device and his screen now looks like the next screenshot.



Joey quickly opens up the OneNote workbook in Office 365. He copies the share link to this Notebook and saves it using OneDrive. He knows he can use this to help him improve his latest Maths assignment for Mrs DeLuca on the bus journey to school that morning. Whilst logged in, he checks his email in Outlook and notices that the friend who posted the link to the maths help is online (there is a green strip to the left of her picture) so Joey sends her an Instant Message thanking her for the cool stuff she has found.



Whilst getting ready, Joey uploads and syncs two files he has been working on at home on his laptop to OneDrive so that the up to date versions will be available to him later that day at school. He quickly washes and gets dressed and sends out a few more Yammer messages planning the day's after-school activities with his friends whilst having breakfast. He likes yammer as it is like Twitter and Facebook, but just for other people in his school community.

 



  • As Joey sets off on his bus journey to school, he connects to the Wifi and logs in to Office 365 on his tablet.

  • Although he doesn't have the full versions of Word and OneNote, he can use Office Online to work in files he has in OneDrive, and so he opens up the Maths OneNote Notebook his friends have made and uses it to help him complete his Maths homework assignment for Mrs DeLuca using Word Online.

  • He shares a link to the completed assignment in OneDrive with her. Homework completed and returned, he can now relax thanks to Office365 and spend the rest of the journey listening to his music and chatting with his friends on Yammer.

  • He sees a Yammer message from Mr Jones the History teacher telling all his class about another revision session he will be running that evening using Lync video-conferencing.

  • Mr Jones has used Lync before to help his students with revision the evening before an end of topic test. There is an email message for the students with a meeting request including a link which will take them to the revision session that evening at 20:00 hrs.

  • As he has already arranged a group Skype call with some friends in the USA for that evening, he will need to ask them to delay the call so that he can take part in Mr Jones' revision session first…

 

And all of this before he’s even through the school gates! Connecting Joey's learning to his life with Office 365 for Education.
