Southside Cycling Club Board of Directors Meeting

September 10, 2012

Members Present: Dan Christensen, Amy Hill, Steve Shackleford, Nat Haytcher, Candy O’Keefe-Culp, Jen Heintz, Jack Hawkins, Mark Adair, Curtis Thomas

Meeting was called to order at 7:10.

Minutes from July meeting were reviewed. Motion to accept as written was made by Nat. Jack seconded. Passed unanimously.

VP Report:

Nat got SSCC members a discount on Louis Grizzard ride in October (approx $5 discount)

Wants to schedule lunch for Yokogawa to thank for sponsorship.

Secretary: No report.

Treasurer’s Report: Financial statement sent out via email prior to meeting.

Committee Reports:

Webmaster: no report

Activities:

Club activities will end in November officially, but smaller scale rides can continue as people want to organize

Poker Run-tentatively for early November.

October will be Annual Meeting and End of Season Social (at Frank A’s house)



Advocacy:

Steve-Atlanta bicycle coalition—still wants to have effective cycling class at some point in the future (maybe spring)

Jack-Bike MS is this weekend—55 team members for Erin’s Fight.

Marketing:

Need new sponsors for 2013—Mark’s lead for a sponsor has not been successful to date.



Old Business:

Pedal for Pets:

Final financial results—email was sent out earlier today and is approx $2900 for Pedal for Pets and $2900 for SSCC. Steve made a motion to accept statement as written. Nat seconded. Motion passed 8 yays, 1 nay (Curtis)

Amy suggested presenting check “officially” at annual meeting. SSCC will give real check prior to Oct. 1st.

Lessons Learned:

Pros:

Good turnout, good website, good advertisements, good rest stops (amt and placement)



Cons:

Mass start confusing-will advertise on website and at registration, restaurant discounts-some restaurants not aware, but did give discount; Parking-need more parking volunteers/signage; waivers-downloadable one for next year to avoid long lines; road markings-too complicated (simplify next yr) and need to mark farther ahead for the fast riders; need road paint and brighter colors; t-shirts-be sure that pre-registered riders get shirts before day-of riders, possible different color for volunteers; rest stop food needs to be divided prior to ride to prevent riders from taking before the ride

Other:

Pastor at church said they could help with post ride meal next year at the church.

We will do next year—Curtis suggested asking the major sponsor who they would like to have us give the proceeds to next year. Majority of board agrees that Pedal for Pets has a lot of benefits (animal charity, good name, etc).

Steve suggested that we discuss need for volunteers at the annual meeting. Jack suggested volunteer coordinator to address rest stop needs.



New Business:

Annual Meeting: Monday, October 1, 2012

Special Guest: Tim Haskew-to discuss Ride Across America that he completed



Will be at Maguire’s—have $500 budget: appetizers and beer/soda provided by the club. Candy and Dan will discuss with Wendy for details.

Board Member Nominations: Curtis is resigning due to geographical issues. Nat would like to resign as VP but would stay on board. Need VP and P4P Ride Director for 2013. Candy suggested putting a letter out to the membership to let them know what is available/needed.

Memberships: Dan made a motion that anyone signing up by October 1st of this year will get full membership through the end of 2013. Motion passed unanimously.

End of the Year Party: To be held at Frank Acktabowski—is on October 7th. SSCC will budget for $250-$300 to help with costs.

Rest Stop: Sigvaris/Trek is having a ride on October 27th to benefit Camp Southern Ground. They have asked club to do a rest stop. Jack suggested a sign up via the website for interested volunteers. Budget for rest stop will be $200.

Motion to adjourn made at 8:10 pm. Next meeting is October 1, 2012 at 7 pm for annual meeting at Maguire’s.
