Appendix 2: Common Flags during Validation
There are a variety of flags that may appear on your validation page. These are here to help ensure accurate data entry and consistency in reporting. Common types of flags which can appear, include the following:


  1. HP Designation Totals do not balance with the HP Total of your Campaign Results.

  2. This department or agency’s Campaign Results has a current total of $0.00.

  3. The number of Leaders/Friends is set to X, however the Leader/Friends $ total is set to X.

  4. The Number of Employees/Donors is set to 0.

  5. % difference between years

  6. This department or agency’s total was $0.00 last year. Is this a new campaign?

  7. The goal is set to $0.00.

The colour fill of each flag indicates the severity of the warning:



RED indicates that this flag cannot be accepted/validated.

ORANGE indicates that this flag should not be accepted/validated.

YELLOW indicates this flag can be accepted/validated .


A) The HP Designations [PRD/Cash] Total does not balance with the HP [PRD/Cash] Total of your Campaign Results of X.



What this means: If this flag appears, this means the numbers you have entered in the PRD or Cash columns for Healthpartners in the National Results Form, and the numbers you have entered in the HealthPartners Designations Form do not match up. The National Results Form displays the HealthPartners results based on the departments from which donations were received. The HealthPartners Designations Form displays these same results based on where the donations were designated. Thus, the total amounts listed for Healthpartners (in each Cash and PRD) on both forms must be equal.
How to fix this flag:

  1. Check the HealthPartners Designations Form – Double check that the totals for each of the 16 HealthPartners members and the Healthpartners Fund are accurate.

  • You may have mistakenly entered a number in the PRD column when it should have belonged to the Cash column, and vice-versa.

  • You may have mistakenly entered a larger amount into the Healthpartners Fund. Remember that the general Healthpartners Fund is a stand-alone fund to which donors can designate, and NOT a sum of the totals for the 16 Healthpartners members.




  1. Check the National Results Form – If you cannot find any errors in the Healthpartners Designations Form, double check that the Healthpartners PRD and Cash totals for each department are accurate.




  1. Check the gift forms – If you cannot find an internal error within either the Healthpartners Designations Form or the National Results Form, the mistake may have been committed while entering the data from the gift forms. Please double check that all totals are an accurate reflection of the original gift forms.



B) This department or agency’s Campaign Results has a current total of $0.00.



What this means: If this flag appears, this means that, while you have added the department to your National Results, you have not entered any data. This may be because the department did not participate in the campaign, or it may be a mistake in data entry.
How to fix this flag: Double check that the $0.00 raised by the department is accurate. If this is so, you must delete the department by clicking on it and using the ‘Delete’ button on your keyboard. If the department has in fact participated in the campaign, correct the total results. In both cases, the flag should disappear when you return to the validation page.



C) The number of Leaders/Friends is set to X, however the Leader/Friends $ total is set to Y.



What this means: If this flag appears, this means the total $ amount for Leaders/Friends is too low to account for the minimum donation that needs to be satisfied to merit this category. This may be resultant from a local United Way’s different valuation for these categories, or it may due to a mistake in data entry.
How to fix this flag: Go back to the data entry stage for this department and note the donation values required for each category: While a local United Way may have different valuations for Leaders and Friends, GCWCC defines Leaders as those giving above $999 and Friends as those giving between $499 and $999. We ask you to please use these guidelines for data entry in NORT. If this has simply been a mistake in data entry, correct the data and return to the validation page where the flag should have disappeared.



D) The Number of Employees/Donors is set to 0.



What this means: If this flag appears, this means that you have not entered a total number of Employees or Donors for the given department.
How to fix this flag: Go back to the data entry stage for this department and enter the correct number of Employees or Donors. If you are unsure of the total number of Employees, call the local department branch and ask for this information. If the department cannot provide an exact number at the time of data collection, use an estimate from the department. Once the number is entered, the flag will disappear.



E) % differences between years

There are a number of ways % differences may appear as flags. Examples include:



Ex. 1: The sum of all designations has a difference greater than __% from previous year’s results


Ex.2: The United Way designations total has a difference greater than __% from previous year’s results


Ex.3: The Healthpartners designations total has a difference greater than __% from previous year’s results.


Ex.4: The Other registered Canadian charities designations total has a difference greater than __% from previous year’s results.


Ex.5: The Special events total has a difference greater than __% from previous year’s results.


Ex. 6: The Grand Total for [department] has a difference greater than __% from previous year’s results.


What this means: If this flag appears, this means the totals entered for a department or the grand totals are a significant amount higher or lower than the total for the year prior. This may be resultant from an exponential increase/decrease in donations, however it may also be due to a mistake in data entry.
How to fix this flag: Double check the values entered on the National Results Form for each department. If these are accurate, you may validate the flag(s). If you have noticed the data is truly incorrect, correct the amounts and re-validate.


F) This department or agency’s total was $0.00 last year. Is this a new campaign?



What this means: If this flag appears, this means that results have not been submitted for this department in the previous year. This may be resultant from the department not having participated in prior years, however it may also have been mistakenly selected.
How to fix this flag: Double check that the amount raised by the department is accurate. If so, you can accept/validate the flag.



G) The goal is set to $0.00.



What this means: If this flag appears, this means that you have not entered a goal for the department. This may be resultant from the department not having set a goal, or from a mistake in data entry.
How to fix this flag: If the department has not set a goal, you may accept/validate this flag. If otherwise, go back to the data entry stage for this department and enter the goal. The flag will disappear.
