Part-time Volunteer and Administrative Coordinator

Classification: Non- exempt Part-Time

Pay Range: Hourly; $13 – $15/hour

Reports to: Adult Education Manager

Opened Date: February 2015

Start Date: April 1, 2015

Trees Atlanta is a nationally recognized citizens’ group that protects and improves Atlanta’s urban forest by planting, conserving, and educating. Founded in 1985, Trees Atlanta was originally tasked with improving the tree canopy of downtown Atlanta. Since then, Trees Atlanta has expanded to include communities all across Atlanta, and 100,000 trees later, the mission continues to evolve.

As part of Trees Atlanta’s growing team, we seek an enthusiastic part time Volunteer and Administrative Coordinator who will assist in volunteer staffing and routine office work at the Trees Atlanta TreeHouse, new space on the Atlanta BeltLine for educational programming.  This newly created, part time, position reports to Trees Atlanta’s Adult Education Manager, but works closely with other staff members.

Responsibilities

Performs administrative and office support activities. Duties may include:



  • Administrative tasks: 

Fielding telephone calls, ordering office supplies,registering and directing visitors or class registrants, word processing, scheduling  programs, and managing registration sites. Software skills are required, as well as Internet research abilities and strong communication skills. Keeps an accurate and up to date calendar with all educational programming. Schedules programs at the TreeHouse and coordinates necessary logistics of educational programs and tours

  • Volunteer coordination tasks: 

Organizes, coordinates and manages the recruitment of volunteers to assist with educational programs (programs include: volunteer-led speaking events in the community, drop in programs and educational workshops at the TreeHouse for all ages). Maintains updated records on all volunteers. Sets up volunteer meetings. Reports to staff on volunteer activities as needed. Develops and implements a volunteer recognition program. Handles scheduling of regular tours and special group tours led by volunteer Docents.

Experience and Qualifications

  • Bachelor degree in communication, education, IT, graphic design or related field from an accredited institution or equivalent experience in administrative duties, using computers, database management, volunteer management software skills, or working with volunteers. 

  • Must have excellent written and verbal communication skills and the ability to work effectively with the public. 

  • Attention to detail, flexibility, energetic nature and ability to work well with others. 

  • Reliable, self starter with demonstrated organizational skills and ability to multi-task while managing time effectively. 

  • Knowledge of computer programs such as Google apps, Volgistics, Mail Chimp, Network for Good, Microsoft Office, and social media is desired.

  • Clearance to work with children and pass personal background check.

Required Experience:

Three years or more of successful work experience in this or a related field.

Preferred Experience:

Prior experience as administrative assistant overseeing daily use of an office space or as a volunteer coordinator for public or nonprofit employer. Prior experience scheduling programs and coordinating volunteers.

Work Conditions:

Primarily office work conditions with occasional outdoor work at educational events. Occasional evening work and weekends for educational sessions/events. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
