Welcome to the world of All-Star Cheerleading and thank you for choosing to join London Heat! As we prepare for our 10th season, we are anticipating a very exciting and successful year. Whether you are new to London Heat or a returning member, we are thrilled to have you join our team and look forward to working together to make London Heat the best that it can be!

We know that your athlete will learn lifelong skills, build lasting friendships, and work with some of the most dedicated coaches in London. We take pride in the program we have built, and know that your athlete will excel on and off the cheer floor as a part of our family.

Please take the time to carefully read through this parent handbook. It has been developed to answer many of your questions and to allow you and your family to fully understand what being a member of London Heat Cheerleading is all about. Feel free to contact us if you acquire further explanation or if you have any questions.

Why Choose London Heat?

In London and the surrounding area, we have become the known for our competitive teams. We have worked hard to find a balance of athletics, team culture and dedication. Throughout the season you will experience what it means to be a part of the Heat Family.

Here are a few things we do at London Heat that set us apart from the competition.


  • Our coaches have a passion and love for the spot that is displayed at each practice, competition and event. They are all certified with USASF and have First Aid and CPR. They are knowledgeable, friendly, and National Champions!

  • With eleven teams, we have a spot for every age and level. We know that the success of our teams starts with placing each athlete in the level that they will excel at, while keeping them challenged and motivated.

  • We hold many fun and exciting events with our entire program throughout the season! We begin with our Kick Off Party in September to start the season in style, followed by Trunk or Treat, Christmas Party, Showcase, Easter Hunt, and other new events coming this year.

  • Your athlete will have the opportunity to participate in our Elite Cheer Camp. This camp focuses on intensive training, team building, bonding and fun. Guest instructors from world-class programs are brought in to coach our athletes during this camp.

  • We offer many additional tumbling and flyer classes that you can register your athlete in to enhance their training and skills.

Athletes will be placed on teams with other athletes of similar skill sets. During summer training, teams may be working on different levels to determine which level the team will excel at for the season. Levels will be decided in the fall at the coaches' and Program Director's discretion.

Summer Training
We encourage athletes to be at all summer practices. This is an important time of the season as athletes will be placed into stunt groups and will start working on new tumbling skills and choreography for the next season. We understand that families may have vacations planned for the summer, but we ask that the parent and/or athlete notify the coaches immediately so they can plan practices accordingly. If attendance becomes an issue during the summer, the athlete's position during the season may be minimized if they have not had similar training time as the other athletes on their team.
Fall – Spring Training
Training is mandatory as of August 22nd 2016.

U.S. FINALS
We will not be attending any U.S. Finals events this season.
SUMMIT
Only teams listed on the above schedule will be eligible for Summit bids this season. If a team does receive a bid they will be attending the event.


  • U.S. Competition fees are not included in the yearly tuition. Due to the fluctuating exchange rate, we are unable to predict costs for these events. These fees will be collected closer to the competition date.

  • Summit fees are not included in the yearly tuition.


STAY TO PLAY POLICY
A few of the competitions we attend are "Stay-to-Play" events. This means that, in order for us to compete at their competition, we must book at one of the host hotels. Please note that this is not a London Heat Policy but a policy of the competition organizers. It is expected that each athlete adhere to this policy for the season or they will not be permitted

to attend the event and/or may jeopardize their position with the program.




TRAVEL
Ontario Competitions

Travel to and from each competition will be up to each individual family. Other than "Stay-To-Play" Events, it will be left to the discretion of each family whether or not they will use a hotel or commute.


Kalahari (Sandusky, Ohio)

The Coach Bus will not be mandatory this season; however, we may offer it as an option if we have enough families to fill it. Otherwise, travel and accommodations will be up to each family.


Cheersport Atlanta

Youth teams will be travelling with their families.

Junior teams will be travelling together and will have a 3:1 ratio in rooms.

Senior teams will be travelling and rooming together.


Buffalo/Detroit

This competition follows the same policy as Ontario Competitions.


Summit

Youth teams will be travelling with their families.

Junior teams will be travelling together and will have a 3:1 ratio in rooms.

Senior teams will be travelling and rooming together.





ATTENDANCE POLICIES AND GYM CLOSURES
ATTENDANCE

During the summer months, we expect that athletes attend all practices unless they are out of town. We understand that families take vacations and may miss some practices for this reason; however, from September through May, all practices are mandatory. This includes practices unexpectedly added throughout the season.

Please take a moment to consider what you are signing up for. London Heat teams practice twice to three times weekly, and those practices are always mandatory. Please respect the commitment of all the other athletes on your team by ensuring that you are present at all practices and events. This will mean planning family and school functions around practices (including vacations). London Heat’s practice and competition schedule is already published, as are the dates that we are open and closed. PLEASE PLAN ACCORDINGLY! No unexplained absences will be given consideration. If an athlete misses practice, it may result in her being removed from the routine or having her role minimized. Using cheerleading as a punishment for your athlete is not acceptable. This affects the entire team's success, which in turn directly affects our program. The same policy as stated above will be followed.

Please note that the coaches keep track of all missed practices and reasons. If you are injured, you must attend practices dressed for practice. You may not be required to participate fully, but you may be given conditioning work. You will also watch for any changes to routines that affect you.

Our strict attendance policy is a large part of our success as a program. We expect that all families review the practice times, competitions and fees associated with the program. All families must understand the commitment they are making to the program and be able to fulfill all duties associated with London Heat.

CHOREOGRAPHY DAYS
August 28th- September 3nd will be mandatory Choreography Days. All athletes must attend and no exceptions will be made. This season we are bringing in outside choreographers to work with our teams. Dates and times for each team will be determined by the end of June and all teams will be notified as soon as the details are finalized.


UNIFORMS AND PRACTICE GEAR

PRACTICE GEAR
Included in your yearly investment is a program practice T-Shirt that you will receive during the summer.
Additional practice gear packages will be available to order during the summer.
Athletes will be required to wear London Heat practice gear at all practices. Athletes will also be required to wear a bow at all practices.
The following items are required for practice:


  • Black Shorts (athletic tight shorts, i.e. Nike pros)

  • Sports Bra: Heat sports bra or red, white, or black sports bra with no logo

  • Heat T-Shirt/tank top from any season

  • Bow: any colour or style of cheer bow is permitted

  • Cheer Shoes (no other shoes are permitted)

Competition shirts will not be allowed at any time during team training. Athletes may wear them during tumbling or open gym. Athletes will be required to wear a sports bra; normal bras are a safety hazard.


UNIFORMS
* Sizzle and Fireworks will only be required practice gear for Showcases *
We will be getting new Uniforms this season for all competitive teams! These uniforms will be through Varsity, and we know everyone is going to love them.
We will be keeping the same Competition bow and makeup kits as last season.
If you are new to our program, you will be purchasing the Competition Package which includes the following:


  • Competition Uniform (approx. $300)

  • Competition Bow (approx.$40)

  • Competition Makeup (approx $35)

  • Track Jacket (approx $100)

(Prices above do not include taxes.)


Other optional items will be available throughout the season.

Sizing Date

Sizing for anyone who needs the Competition Package or a new uniform will take place on Sunday, July 10th. This season, everyone will sign up for their own sizing time in order to alleviate lines. Times and procedures will be available closer to that date. We will NOT have a second sizing date in order to ensure timely delivery of our uniforms.

NEW! We have created a Facebook group for our members to advertise and arrange selling outgrown Heat Gear. This group is a closed group, and only members will be able to see posts. If you are interested, please search “London Heat Uniform Swap” and request to join the group. Purchases and/or swaps will not be facilitated by London Heat or by the LGA office. This group is only meant to provide an outlet to accommodate the process.


Social Media policies will be enforced.


FUNDRAISING
THE LONDON HEAT BOOSTER CLUB

The “London Heat Booster Club” is a non-profit organization comprised of parents/guardians of London Heat athletes. We are a volunteer group that provides fundraising opportunities for our athletes and families to assist them in raising funds to meet the fees/expenses associated with competitive cheerleading. These fees include such things as, but are not limited to, coaches’ travel expenses for competitions, per diems, accommodations, as well as the purchasing of special equipment or items that will benefit the club as a whole. The fees also pay for cheer events and awards such as athlete/coach recognition, Year End Banquet, and others. Rather than incorporate these costs into the regular fees, you are given the opportunity to fundraise the Booster Club fees. Every family is assessed a fee (as outlined below), and any money fundraised can be applied to your Booster Club fees, thereby allowing you to save some money. If you would like to fundraise to meet this cost, all fundraisers must be complete and handed in by the deadline of September 1, 2016. This allows the Booster Club to process your fundraising money prior to the fee due date of September.

All Booster Club fees must be paid in full by September 16, 2016 in order for your athlete to be able to continue training with London Heat.

You will be given several opportunities throughout the season to continue fundraising, and these funds can be applied to competition/travel costs associated with events that take place outside of Canada.

For the third season in a row, we are pleased to say that we will have “Team Parents” join the Booster Club to aid in the organization and implementation of the various fundraisers that will take place. More information on what it means to become a “Team Parent” will be provided at the mandatory parent meeting (see dates/times below).

The London Heat Booster Club fee schedule is as follows:

All London Heat Booster Club fees (either cash payment or post-dated cheque) are due at the parent meetings listed below. Please refer to the London Heat Parent Handbook for more details. A London Heat Booster Club board member will be present at the parent meetings.

PARENT MEETINGS
We will be holding Parent Meetings on the dates listed below. The first 20 minutes will be with the London Heat Booster Club representatives, followed by 20 minutes with our Program Director, Jamie, and your Team Coach.

COMMUNICATION
Communication for administrative purposes is primarily made via email (Jamie at londonheatjamie@yahoo.ca, or Liz at info@londongymnasticsacademy.com). Please make sure we have the correct email for you and that you are receiving all emails.
We will be using our Facebook page (https://www.facebook.com/LondonHeatCheerleading) for any communications regarding practices, important reminders, competition updates, etc. Please make sure to “Like” this page for instant updates and news. While at competitions, this is the easiest form of communication for any changes and/or notifications.

CLUB RULES & REGULATIONS FOR A SUCCESSFUL, POSITIVE SEASON
Athlete Expectations

  1. Athletes are expected to be at all practices, competitions, and club events or team bonding activities.

  2. Athletes must treat their coaches, administrative staff, competition staff and teammates with respect at all times.

  3. Athletes are to be good teammates - no gossip, pettiness, bullying or alienating will be tolerated. These behaviours are grounds for dismissal from our program.

  4. Each athlete must be aware that no person has a “right” to be a part of London Heat. It is a privilege.

  5. Athletes will understand and respect that coaches reserve the right to alter/modify routines as needed. They will respect and support those decisions that are made in the best interest of and for the team.

  6. Athletes are expected to maintain, at a minimum, the skills they performed at the start of the season. We reserve the right to move athletes if they are not able to maintain those skills.

  7. Athletes must communicate with their coaches if they are sick or injured, or if there are any serious issues with other teammates. Each athlete must be able to communicate any concerns or issues with their coaches in order to allow proper recovery/solutions.


Parents' Role & Responsibilities

  1. Parents are expected to pay all fees and bills in a timely manner. Athletes with past due amounts will be asked to sit out of practice.

  2. Parents are expected to support the team and the club by supporting their athlete in a positive manner.

  3. Parents must support their athlete's commitment to the team by ensuring they are at practice and by following our attendance policy.

  4. Parents must stay informed by reading all emails and by checking the Facebook page.


Club Rules

  1. Our goal is to teach athletes the responsibility that comes from a competitive team sport. This means that we rely on parents to help us enforce our attendance police by ensuring that your athlete does not let her team down. Removing cheer from your child's schedule is not an acceptable form of punishment as this impacts the entire team.

  2. NO GOSSIP will be tolerated. Please refrain from talking about other athletes, families or coaches. Failure to comply may result in dismissal from our program.

  3. London Heat strives to maintain a positive atmosphere at all times and we take this very seriously. We are happy to discuss any concerns individually; however, continued negativity will not be tolerated. Persistent negativity from parents or athletes is grounds for dismissal from our program. If you have a concern, please address it with the appropriate person so that we can solve it or explain it.

  4. Parents are not permitted to be in the gym. We reserve the right to close practices if we feel it is in the best interest of the program or athletes.

  5. Social Media Policy - Anyone associated with London Heat must refrain from posting negative thoughts about the team, gym, coaches, competitions, or other programs on any form of social media. The only acceptable method of addressing concerns is with the appropriate person directly.

  6. In order to use the London Heat logo or brand, permission must be obtained from the LGA/London Heat office.


General

  1. Good sportsmanship is a win-win! Please treat all athletes and programs with respect.

  2. Hard work and dedication will result in a great season!



YEARLY INVESTMENT OVERVIEW
Outlined below are the fees for the 2016-2017 season. This season we have an all-inclusive pricing structure which includes the following: team package (team t-shirt), registration and membership, tuition, music, choreography, SOCAN, choreography days, insurance, impact testing, and Ontario competition fees. Competition uniform fees (including bows, makeup, etc.) are separate.

Competition Fees for USA Competitions

All USA competition fees will be processed approximately four weeks prior to the competition date along with travel and accommodation costs if necessary. All families will be notified of the dates by email.


Crossovers

Crossovers fees will be $500 + HST for the season. This payment will be processed on September 26th 2016.

NOTES


  1. It will be assumed that you are using the “6 Equal Payments” plan unless you contact the office to indicate otherwise. Payments will be processed on July 1, August 1, September 1, October 1, November 1, and December 1, 2016.

  2. A credit card must be provided at the time of registration. If you wish to pay by cash or debit, you may pay in person at the office prior to the first of the month when the payment will be taken. This policy will also apply to any other fees that may be collected throughout the season (i.e. U.S. travel fees).

  3. All fees listed above do NOT include HST.

  4. Fees/Costs for all USA competitions are NOT included in the fees above. All USA competition fees will be collected/ processed through your customer portal a minimum of four weeks prior to the competition date, along with travel and accommodation costs.

  5. A $30 NSF fee will be charged for all payments declined or returned.

  6. These fees include the following: Team Package (team t-shirt), registration and membership, tuition, music, choreography, SOCAN, choreography days, insurance, Impact testing and Ontario competition fees.

  7. Competition uniform fees (including bows, makeup, etc.) are separate.

  8. Competitive cheerleading is a yearly/per season tuition. Fees are NOT monthly membership fees based on the month or times you attend. London Heat Cheerleading reserves the right to turn over all delinquent accounts to a collections agency and parents/athletes are responsible to pay all additional costs incurred.

REFUND POLICY

  1. The Registration Fee is NON-REFUNDABLE.

  2. Competition Fees are NON-REFUNDABLE.

  3. The team package fee is NON-REFUNDABLE.

  4. A $50 administration fee applies to ALL REFUNDS requested.

  5. There is a $30 NSF fee for all payments returned NSF or declined.

  6. Refund requests must be made in writing to Liz Timmermans at London Gymnastics Academy (e-mail is NOT sufficient).

  7. No refunds of tuition fees, competition fees, or trip expenses and/or deposits will be allowed if an athlete is terminated due to the athlete’s and/or parents’ violation of the code of conduct.

  8. Trip deposits and payments are NON-REFUNDABLE.

  9. Refunds are based on Tuition Fees ONLY. All other fees are non-refundable.

  10. Refunds are processed as follows unless the athlete incurs serious health problems. A doctor’s note will be required at the patient’s expense and refunds will be processed from the date the doctor's note is received in office.

  • 100% of remaining fees up to and including September 1st, 2016

  • 75% of remaining fees up to and including November 1st, 2016

  • 50% of remaining fees up to and including December 1st, 2016

  • No refunds of ANY remaining fees after December 31, 2016

For Clarity - If your child withdraws on September 1st, you will be refunded 100% of tuition fees paid from September until May 31st minus the $50 administration fee. If the athlete withdraws AFTER September 1st, you will be obligated to pay 25% of tuition fees covering September until May plus the $50 administration/withdrawal fee.

Child tax credit receipts for all 2017 fees will be issued before the end of February 2017 and will be automatically e-mailed to you. Please note that you are always able to view your transaction history and/or make changes to your account information through your online customer portal.



CODE OF CONDUCT & COMMITMENT FORM

ATHLETES
I agree to treat the coaches, other athletes on my team, other London Heat team athletes and those in other cheerleading programs with respect and good sportsmanship at all times.
I understand my ideas are welcome, but speaking back to my coaches, treating my coaches inappropriately, swearing or making inappropriate gestures could result in dismissal from the team.
I agree to refrain from speaking poorly about others in the program, during practice, outside of practice and on message boards/talk forums/ internet, etc.
I agree to attend all practices to the very best of my ability, without being late. I understand being on a team requires commitment and my attendance is crucial.
I understand health, fitness and general wellness are a major component of my sport; therefore, a healthy lifestyle is strongly encouraged.
I will be gracious in victory and defeat; and be as cooperative as I am competitive.
I understand missing excessive practices within the year will constitute my being asked to leave the team with no refund after being given three warnings by the head coaches.
PARENTS
I have read through the above with my child and he/she fully understands what is expected in the London Heat cheerleading program and will comply by this Code.
I understand all team expectations, including attendance, scheduling and monetary expectations for the team my child will be joining.
I understand the importance of my child attending all practices, being on time and London Heat’s intention of teaching my child responsibility and accountability.
I understand that parents are asked to drop off their children for practices and pick them up at the end. Viewing of practices is strongly discouraged. Parents are prohibited from entering the gym and from distracting their child or other children in the program.
I understand that feedback is welcome, but I will respect the coaches and their authority during practices and competitions by never questioning, discussing or confronting coaches at practice or competitions, and will take time to speak with them at an agreed upon time and place (not in front of others).
I understand that stunts and routines are created with the safety and ability of all athletes in consideration. I understand that by registering my child I am putting trust in the experience of London Heat coaches and will not insist my child or her/his team engage in stunting beyond their ability as determined by the coaches.
I understand my child will be coached through progressive training to ensure his/her safety.
I understand competition arrival times as designated by the coach must be respected in order to allow the coaches sufficient time to prepare the athletes for competition. Exceptions will apply for emergency situations only.

I understand if my child cannot compete at certain competitions, I must advise the head coach two months prior, unless for medical emergencies.
I also understand that my child may have minimal participation in routines following such absences due to the difficulty of reworking established routines. Travel team athletes must compete at all competitions unless injured.
I have read and understand the refund policy. If stop payments are placed on cheques to avoid the policy, my account will be forwarded to a collections agency.
I also understand that there is a $30 NSF charge for any cheque returned NSF will full replacement value in cash or certified cheque. I understand there will be late fees charged if I am late with payments for trips, etc. due to London Heat incurring late fees; unless I have spoken to Liz or Jen in advance.
I understand I will be required to attend team meetings and must keep myself up to date on team functions, practices, etc., by using the London Heat (London Gymnastics Academy) website at www.londongymnasticsacademy.com as minimal paper will be distributed.
I will not engage in any kind of unsportsmanlike conduct with any coach, athlete or parent. I will be a positive role model for my child by showing respect and courtesy and demonstrating positive support for all players, coaches, parents and spectators at every practice, competition or other event.
I will refrain from “coaching” my child or other players during practices and competitions. I understand the coaches choose specific spots for athletes on the team in order to help athletes gain confidence and self-esteem and to give the opportunity to develop certain skills. I agree NOT to interfere with the coach’s decisions as their interests lie in encouraging athletes to be safe and to be team players. All athletes, regardless of their role, are crucial to the teams’ success.
I will teach my child to follow the rules and to resolve conflict without my resorting to hostility or disrespectful behavior towards others.
I will emphasize skill development and practices and how they benefit my child. I will emphasize the importance of being committed to his/her teammates and London Heat.
I also agree that if my guest(s) or I fail to abide by the aforementioned rules and guidelines, I/we will be subject to disciplinary action that could include, but is not limited to the following: Issuing a verbal warning to cease and desist all inappropriate action; Individuals will be ejected from the practice or competition area; Practice/membership suspension with written documentation of the incident kept on permanent record by London Heat.; Removal of the athlete from the team; Legal action taken against the parent for non-payment of fees, and/or debts owed to London Heat, or if slander against London Heat is utilized, charges will be laid if necessary.
TRAVELLING CODE
All athletes representing London Heat are required to conduct themselves in an appropriate manner.
Athletes are not allowed to use and/or have in their possession alcoholic beverages, drugs or weapons at any time.
Appropriate behaviour is mandatory. If behaviour is unacceptable to the coach, the athlete may be withdrawn from the competition and sent home at his/her expense. In extreme cases, he/she will be removed from the team.
Hotel etiquette of the highest caliber is crucial. Damaging property, injuring or disrupting hotel guests or teammates could constitute suspension from the team.
As travel is intended to be an enjoyable experience for the team, all athletes are expected to abide by the aforementioned rules to allow for the safety, well-being and enjoyment of all members on the team.w:\customer files\l\london gymnastics academy\cheerleading package\images\footer2.jpg
