Using the Android App to access SYSTMONLINE

About SystmOnline

SystmOnline gives you as a patient, easier access to your GP and medical data, allowing you to conveniently manage your healthcare. Through the App access to SystmOnline you are able to update your contact details, book appointments, request repeat prescriptions, and view your medical record and more. If you are unable to use any of these features it will be because Bolton Community Practice has not yet made them available to you.



Note: SystmOnline is also available on the Web.

App

The SystmOnline app is available for Android devices. It can be downloaded free of charge from the app store.

The app allows patients to manage any aspect of their healthcare all from one place.
TPP’s SystmOnline app offers patients much of the same functionality as the SystmOnline website option, but optimised for android phones and tablets. The app has extra functionality to the online service to promote patient responsibility for their care.

Bolton Community Practice is very supportive of NHS England’s vision to get patients more involved in their own care. The functionality for patients to view their own record has been available for a while, but Bolton Community Practice is hoping now it’s in an app, people will use it more often. “The app will make a real difference for those patients who need access to their record on the move.

Logging in to SystmOnline

New users of the online services are required to register. You will need to complete the SystemOnline Patient Access Disclaimer forms which are available at the reception or on the BCP Website:

Please sign these forms and present it to a member of staff in order to gain access. You will also need to provide photographic ID and be registered with the practice in order to use the online services.

Once you have registered with BCP for the online service, they will give you a SystmOnline username and password.



Login

Tap the Systmonline app on your device and the sign on screen will be displayed for you to enter the Username and Password supplied by the practice. After completing the Username / Password tap LOGIN.

You will initially be given a random password and when you log on for the first time, you will be prompted to change it to something more memorable.

You will then see the SystmOnline Home page, which shows:



  • Practice Info

  • Patient Info

  • Patient Address

  • Last Logged in


Log Out and Update Details (more) options are displayed on the top line and the Menu will be displayed by tapping systmonline

Note: The services available here will depend on the services BCP has decided to offer; therefore, not all of those listed in this guide be available to you.
You can navigate to all online services from the Menu.

To return to it, tap (systmonline icon) on the top line.


Changing Your Password (* depends on version of Android)


You will initially be given a random password and when you log on for the first time, you will be prompted to change it to something more memorable. Passwords must be eight or more characters long and must contain at least one number and one non-alphanumeric character, e.g. '!' or '?' or ‘/’.

If you need to change your password at any other time:



  1. tap the more icon

  2. Tap Change Password

  3. Type in current password.

  4. Type in new password observing the password rules.

  5. Re-enter new password.

  6. Tap SUBMIT You are advised to memorise the new password. Do not write it down or disclose it to anyone else.

  7. To abort the change tap  Back



Forgotten Your Password


If you forget your password, you can reset it yourself, provided your practice has an email address for you that has been verified as being correct (this means the practice has sent an email to you in the past and you have replied to it).

To reset a forgotten password yourself:



  1. Tap forgotten password on the Login page.

  2. Type username and tap OK.

  3. Type email Address and tap OK

  4. You will receive an email containing a new password.

  5. Use the new password to log in to SystmOnline. You will be prompted to change the password to one of your own choice as soon as you log in. The password must be eight or more characters long and must contain at least one number and one non-alphanumeric character, e.g. '!' or '?' or ‘/’.

If you do not have an email address that has been checked, you will need to visit your practice in person and ask for your password to be reset. When you log in with the replacement password, you will be prompted to change it to a password of your own choice.

Logging Out of SystmOnline


To log out:

  1. Tap Log out option on the top line.

  2. Close the APP.

Note: The App will automatically log out after a period of inactivity. Type in your username and password to log back in again.







Managing Appointments with SystmOnline


BCP may limit the number of future appointments that you can have at any one time. If you have already reached this limit and would like to book another appointment, you should contact BCP by telephone or in person.

Providing you have not already reached your practice's limit for the number of future appointments, you can book an appointment using this service.

The page displayed shows details of all the sessions at your GP practice that are available for online booking. The table shows the date an appointment is available, the earliest and latest slot times, as well as the location, clinician and session type.

Number of already booked appointments are shown when Appointments is selected from the Menu.





Booking an Appointment

Not available through the App, please use the website option.



Cancelling an Appointment


Tap Appointments on the Menu.

  1. Tap one of the future appointment displayed to expand

  2. Tap the X



Managing Prescriptions with SystmOnline


For certain drugs, you can request a new prescription.

Tap prescriptions on the menu.

All current repeat prescriptions are listed.

Tap the drug name to display dosage, quantity, last issued date and status

Tap Request

Changing Your Pharmacy

Tap Prescription on the Menu




Tap the paper / drug Icon

Tap one of the listed pharmacy

Changing Your Contact Details (* depends on version of Android)


tap the more icon

Tap Update Details.

Complete the new details then tap SEND CHANGES

To abort tap Back






Viewing Additional Access to Your Account


Not available through the App, please use the website option.

To grant someone else access to online services on your behalf, please contact your practice.





Viewing a Summary of Your Patient Record


To view key details from your Electronic Health Record, tap Summary Record on the menu.

The summary will include details of the following:



  • Allergies and Sensitivities

  • acute medication (issued in the last 12 months)

  • Current repeat medication

  • Past Repeat Medication (discontinued in the last 6 months)

Tap SystmOnline then tap Home to return to the Home page.

Note: Summary Record option will only be available if your GP practice offers this service to you.




Viewing Your Detailed Patient Record


To view your Electronic Health Record or request access to view it, tap the Detailed Record on the menu.

This is not automatically granted therefore please contact BCP and request it. Check after a week or so to see whether access has been granted. If it has not, either wait a few days longer or contact BCP to enquire.

Tap one of the categories

All information is displayed in date order with the most recent information showing first. To browse through the pages, scroll up / down.

Tap SystmOnline then tap Home to return to the Home page.

Note: The Detailed Record option will only be available if your GP practice offers this service to you.




Viewing Your Childhood Vaccinations


Not available through the App, please use the website option.

To view the vaccinations your patient record shows you as having had in childhood.



Note: The list of vaccinations shown may be incomplete if the vaccination data was recorded on a different clinical system from the one used by your GP practice or if the unit who recorded a vaccination is not permitted to share your patient data with your registered GP practice.

Viewing a Patient Record Audit


Not available through the App, please use the website option.

To view a list of people who have accessed your electronic patient record:

Bear in mind that office and reception staff will need to view your patient record for administrative reasons, such as booking appointments and filing letters.

Note: This option will only be available if your GP practice offers this service to you.

Completing a Questionnaire


Not available through the App, please use the website option.




Viewing a Pathology / Radiology Test Result


To view a pathology or radiology result via SystmOnline:



  1. Tap Test Results on the menu.

If your GP practice uses the messaging service in SystmOnline, a message will be sent to your SystmOnline account to inform you when new pathology / radiology results are ready for you to view.

Note: Pathology / radiology test results will only be visible if your GP practice offers this service to you.




SystmOnline Usage and Privacy Policies


Please use this service responsibly. In the case of any abuse of the service, BCP can prevent you from accessing the service by stopping your username and password from working.

Examples of irresponsible use of the system may include, but are not limited to:



  • registering at a GP practice when you have no intention of using it as your usual GP practice

  • registering at a GP practice outside your catchment area

  • booking appointments you have no intention of attending

  • repeatedly booking and then cancelling appointments

  • repeatedly requesting prescriptions that you do not need

We are committed to protecting your privacy online. The personal information you enter on this website is strictly controlled. Information entered is available only to members of staff with appropriate access rights at your GP practice - i.e. those managing appointment booking, repeat prescribing and patient registration. Your personal information will not be shared with any third parties. Your personal information will not be sold to any third parties.

Policies & Licenses information can be accessed by tapping the information icon (top right) on the Log In screen.



Country of residence can be selected by tapping the tool icon (top right) on the Login Screen then tap the radio button against the country.
