Introduction
EMDAT Mobile for Android phones allows users to review appointment listings, create dictations, and submit them to the Transcription Company. EMDAT Mobile users can also review and approve completed transcriptions.

Android capable smartphone.

Android Operating System 1.6 or greater
-
3G or Wi-Fi Internet Access
To obtain EMDAT Mobile, visit the Market from an Android smartphone, search for EMDAT Mobile, and download the EMDAT Mobile application.

Start the Market application
-
Search for EMDAT Mobile
-
Select the “Download” button and the “Accept & Download” button on the following screen.

The application will now install itself
2.Starting EMDAT Mobile
To get started, launch the EMDAT Mobile application from the All Programs screen after the installation has completed.
Once EMDAT Mobile has started the login screen will appear. Enter the login credentials here and press the “Login” button at the bottom right.

Login – The assigned login name to identify a user.

Password – A personal secret word or string of characters used for authentication.

Client – A code that identifies the facility.

Remember Login – If this option is on, a cookie will be used to remember the login name on this device. This cookie is only used by the EMDAT site and contains no personal information (just a Login ID). Users that are not concerned about others using their device can CHECK this box to make their login process quicker.

Remember Password – If this option is on, a cookie will be used to remember the password on this device. Users that are not concerned about others using their device can CHECK this box to make their login process quicker.
3.Using EMDAT Mobile
Main Screen
After login, the home of EMDAT Mobile is displayed. The following tabs will now be available:
Schedule – This tab allows the user to review appointments, create dictations and submit them to their transcription company.
Workflow – The workflow folders allows the user to review and approve completed transcriptions. Please note that the folders inside the workflow may be named differently if the client has changed the name of the folder.
Uploads – This screen will show the progress of any dictations queued to be sent to the server. Using the Wi-Fi connection is recommended.
4.Schedule Functions
The Schedule tab allows the user to review appointment listings, create dictations, and submit them to the transcription company. In order to create a dictation from an existing appointment in the list, select the appointment and the Appointment Details screen will load.
Action Bar:
-
Add new dictation – The plus button will load the New Dictation screen, allowing the user to dictate for an appointment that does not appear on the schedule.

Jump to oldest started dictation – The target button shifts the schedule to display the oldest started dictation.

Jump to Today – The calendar button shifts the schedule to today.
Menu options:
-
Agenda View – Schedule is sorted by date on one page, starting with the oldest appointments.

Day View – Displays one day at a time on the Schedule.

Refresh – Reloads the Schedule screen.

Sign Out – Exits the EMDAT application.
Appointment Details screen
Selecting an appointment from the schedule will direct to this screen. From here the user can press the Microphone button to create a dictation, the Play button to play an existing dictation, or the History button to view completed transcriptions for this patient.
New Dictation screen
Using the “+” button from the main screen to create a new dictation will bring up a new dictation header screen. Users are prompted to fill in the following information:

Patient ID

Appointment Date (required)

Document Type
-
Location (required)

Stat
Select "Save” to create the new dictation. The Dictation screen will open and the user will be able to dictate on the appointment. The new dictation will automatically be added to the Schedule screen.
5.Dictating
The Dictation screen allows the user to create a new dictation, update a saved dictation, or play a dictation that has already been uploaded.
Menu options:

Upload – Complete the dictation and upload to EMDAT.

Place on Hold – Saves the dictation on the phone for future addition.

Cancel – Cancels and deletes the current dictation.
-
Record Mode – There are three recording modes available.

Append – Using the record button jumps to the end of the dictation.

Insert – Inserts new dictation at the cursor position.
-
Overwrite – Begins new dictation at the cursor position and overwrites existing dictation.

Edit Header – The user can edit all dictation details except for Patient ID:

6.Workflow Functions
The Workflow tab allows the user to review and approve completed transcriptions. From this screen the user can view transcriptions by selecting them from the list. Inside of the workflow folders the following functions are available from the menu:

Refresh – Refresh the contents of the current workflow folder.

Change Sorting – Sort by Patient Name, Appointment Date, or Date Dictated.

Complete Selected – Complete all dictations that have been marked in the selected workflow folder.
-
Complete All – This will complete all dictations in the selected workflow folder.
In the viewer screen the user can view and complete transcriptions. The menu options for the Transcription Viewer Screen are:

Complete–The Complete button moves the Transcription to the next stage in the workflow.

Details – Display the details of the Transcription including Patient ID, Appointment Date, Document Type, and Location.
7.Upload Function
This screen will show the progress of any dictations queued to be sent to the server. Please note that using the Wi-Fi connection is recommended.
Note: It is important the EMDAT Mobile application is running while uploading dictations. If the application is closed while uploading dictations the upload will stop and will restart when the user logs in again.
8.Removing EMDAT Mobile
To uninstall EMDAT Mobile: Open the Settings menu and access the Applications section. Select the option to “Manage applications.” Select EMDAT Mobile and then the Uninstall button. EMDAT Mobile will then automatically remove itself.
