3.3 PROBLEMS ENCOUNTERED/EXPERIENCE GAINED
In the process of data collection (investigation process) of the study, the following problems were encountered:
Limited information was given by the confidential secretary due to security reasons.
Experienced gained in the investigation of the process is that, the Katsina University, Katsina Student information system with which is very difficult for someone to get the secret or official activities being carried out in the organization.
3.4 ANALYSIS OF THE EXISTING MANUAL SYSTEM
How the old system operates was discus in this chapter:
3.4.1 Student registration
For student to be registered in the faculty of sciences, be it a new or a returning one, he or she has to present a copy of the bank payment slip to their respective level coordinators.
The level coordinator issue a copy of student information form (SIF) and course registration form to the student who will fill and submits to the Dean, H.O.D and level coordinator for signing.
The student has to distribute the copies of the forms to different authorities concerned. These authorities are as follows: The student has take one copy of each of the form to the Dean Faculty of natural and applied sciences and also one copy to the Director Exams office, then the secretaries of the offices have to search through the entire files to find the needed one and put the student information forms (SIF). This is how the manual student registration takes place at Katsina University, Katsina.
3.4.2 Student Grades Records
The manual way of keeping student’s grades record is on papers, the collected record is compiled as one document for each student at the end of every academic session. This way of keeping record has so many limitations which it can easily tear, lost or wet and therefore result in to missing the entire record. As a result of these limitations, the need to automate this system arises.
