The Atlanta Speech School is currently seeking applicants for a full-time position of Administrative Assistant in the Kenan Preschool, After School and Summer Programs. This position provides administrative assistance to the Director of Kenan Preschool and the Director of After School and Summer Programs to facilitate their ongoing work; to enhance their effectiveness, efficiency, and responsiveness.
Essential duties and responsibilities:
Anne & Jim Kenan Preschool

Compile information and maintain student records, logs of screenings, inquires, waitlist, accepted and not accepted applicants

Prepare enrollment and re-enrollment agreements for current and new students

Mail and collect registration materials for all students in the department

Create class list for each teacher after director assigns students to appropriate class

Enter class lists and class schedules in database and update contact information in school database
(RenWeb) as needed

Provide student reports to department director, teachers, and co workers
-
Maintain and provide monthly student and staff attendance sheets to teachers and department director

Manage purchases, generate and maintain financial tracking records
-
Prepare memos, letters, reports, and other documents using Word and Excel

Open, sort, and distribute incoming correspondence
-
Data entry (Admissions, Registrar, and Student Parent Mailing)

Direct contact for distribution of preschool brochures to parents interested in the program

Prepare responses for correspondences containing routine inquires
-
Field telephone calls, receive, and direct visitors and current families

Assist Director with organizing preschool events
-
Assist in daily functions of the preschool as needed
After School and Summer Programs

Manage telephone calls regarding the after school and summer programs
-
Receive and direct visitors in absence of director
-
Assist in distributing and receiving after school applications each session

Direct contact for distribution of summer brochures to interested individuals

Enter new student information in school database for summer programs
-
Assist in mailing and distribution of after school applications
-
Compile information and maintain student records for summer programs

File summer reports
-
Provide administrative support to program director as needed
CORE COMPETENCIES:

Exercise independent judgment, decision making abilities, and a high level of confidentiality

Knowledge of NAEYC and Bright From The Start policies and accreditation
preferred

Develop and construct cooperative working relationships with parents

Proficiency in MS Word, Excel, Outlook, Powerpoint and Ren Web
