Student Information SystemsAdmissions & RegistrationGarrett College requires an integrated solution to manage multiple applications for multiple terms, multiple programs, and multiple campuses, flexible admission processing, applications for all programs (credit, non-credit, professional development, and other programs). Garrett College requires an integrated admissions and registration solution with Intra and Internet accessibility to manage functional user transactions, and various registration methods1. In addition, the integrated solution must provide for the following enrollment requirements: limits on timeframe and course and section enrollments, section enrollment limits, enrollment controls and restrictions, maximum credit enrollment, prevention of enrollment in time conflicts2, and the prevention of enrollment in multiple occurrences of the same course3. Continuing EducationGarrett College requires an integrated solution to manage all aspects of Continuing Education operations, including but not limited to non-credit students and course, registration, billing, facilities, and state reporting. In addition, Garrett College requires an integrated environment to support the existing organizational layout of its continuing education operations, and seeks opportunities for improvements to overall continuing education -credit systems integration. Course Catalog ManagementGarrett College requires an integrated solution to manage flexible support for the creation and maintenance of the course catalog and course offerings for varying types of terms and courses including credit, non-credit (Continuing Education), and Distance Learning classifications. Financial AidGarrett College requires an integrated solution to manage all aspects of the federal Title IV Financial Aid Programs4, cost of attendance, family contributions, financial need, and federal awards. Garrett College requires the integrated solution to provide for the storage and automatically or manually manipulation of data, the acceptance of external files from numerous federal and state financial aid programs5, the adjustment for enrollment changes6, and the acceptance of accept all files from COD such as Plus and Stafford master prom notes and entrance, exit counseling. In addition, the integration solution must provide automated packaging, deferring, and disbursing of federal awards, calculation of SAP and maximum remedial timeframes, allowance for several periods of enrollment and award and disburse based on those periods, the computation of all financial aid over awards, integration with the Garrett College Administrative email system to send attendance checks. Housing SystemsGarrett College requires an integrated solution to manage all aspects of student housing including, but not limited to, billing functions, reporting retention and reasons for loss of students, providing roommate matching and placement based on student provided information (i.e. major, hobbies, clean and sleep habits, etc.), and tracking maintenance work and reporting work order issues. In addition, this solution must provide a method(s) to report demographics, disciplinary histories (specifically for housing students), find emergency contact information and FERPA Releases for non-academic and financial issues, and to link housing application, processing, billing and history within the EIS solution. Judicial AffairsGarrett College’s judicial affairs process has multiple components including incident reporting, disciplinary investigations/decisions, and appeals. Housing and security staff typically submit incident reports of alleged misconduct. However, any student, non-student, faculty, or staff member has the right to report alleged misconduct via incident reports. Hearing officers preside over investigations based on the location and severity of the alleged misconduct. The Student Conduct Board consists of three representatives selected when needed. If a student successfully petitions to appeal, the selection of a new, three person, Student Conduct Board occurs, and Board rehears the case. Garrett College requires an integrated solution that records disciplinary cases, separating campus and housing and incidents (security reports, FYIs) which are reported but do not necessitate judicial action. The integrated solution must provide reporting on a cross section of details (i.e. # of students investigated, # of violations, types of violations, # of cases, etc.). In addition, the integrated solution must provide comparisons in reporting both quarterly and annually and the ability to flag cases required for Cleary and other notification reports. Parking SystemsGarrett College requires an integrated solution to manage aspects of vehicle parking requirements including, but not limited to, the creation and maintenance of campus parking permit records and violations management. Prospective Student ManagementGarrett College requires an integrated solution to manage the process of students migrating from prospective through enrollment, flexible entering and tracking all contacts with prospective students, reports, labels and downloads of data collected to assist in the analysis of recruitment efforts and marketing campaigns. Student BillingGarrett College requires an integrated solution to manage all aspects of the student billing process including, but not limited to, processing multiple types of charges, processing all forms of payments and tracking accounts receivable. Student Records & TranscriptsGarrett College requires an integrated solution to manage all aspects of student records and transcripts including, but not limited to, the flexible support for the creation and maintenance of student records and transcripts. Additional FunctionalityGarrett College requires an integrated solution to provide web-based employee and student self-service, web-based reporting, and integration with the third party document imaging/workflow solution currently owned by Garrett College, integration with vendor-supplied or third party cashiering systems, enterprise-quality database environment, and integrated database security.
