Garrett College Information Technology Systems Profile

Information Technology Staff


The Garrett College Information Technology (GCIT) Team consists of 7 individuals, namely, one (1) Director of Information Technology/CIO/CTO, one (1) Administrative Assistant, one (1) Management Information Systems Analyst, one (1) Network Administrator, one (1) Hardware Technician, one (1) Software Technician, and one (1) Technical Support Analyst.

The GCIT Team is responsible for supporting all current technology services and related customer service issues and projects, and providing research and development of new technology support services to meet and fulfill the strategic objectives of Garrett College. Current Computing Systems


The Garrett College Information Technology Team recently upgraded its Major Technology Support System (MTSS), comprised of the Storage Area Network (SAN), servers/processors, and the backup solution. Garrett College currently uses a 48TB Dell EqualLogic iSCSI PS6100E SAN and a Dell PowerEdge R720 server running Microsoft Hyper-V with 2 8-Core 2.90 GHz processors with 128 GB RAM with full failover running BackupExec to back up to disk.

Current On-Site Supported Systems


The current main systems GCIT Team supports to manage college operations include, but are not limited to, Exchange, Web/IIS (using Joomla, PHP, WordPress, CSS), Blackboard, Campus Café/Café Web (student information system, admissions, registration, alumni, housing, accounts receivable, accounts payable), PowerFaids (financial aid). These systems use, and the GCIT Team supports SQL 2005 and 2008 and Apache. Garrett College is in the process of migrating all SQL servers to 2012.

Current Off-Site Supported Systems


Garrett College uses R25 Scheduler, hosted by CollegeNet, as its scheduling program. Garrett College uses Google Hosted Mail as its email system for students. Garrett College uses Ceridian Payroll as its payroll system. Garrett College uses ACS, Inc. as for its 1098T tax form processing.

Current Client Installation


Users require an installation of the Campus Café client access to the full Campus Café system. Users access Café Web via a web browser.

Users require an installation of the PowerFaids client to access the PowerFaids system.


Current Reporting Tools


Users require an installation of Crystals Reports to create and modify Campus Café generated reports. Users require and installation of JeffNett to view Campus Café generated reports. Users employ Excel extensively to perform operations unavailable in Campus Café.

Summary of EIS Solution Requirements



Garrett College requires the EIS solution to support the operational management of college financials, student information systems, alumni and advancement development, reporting, web-based access, document imaging, and database integration.

College Financials


Garrett College requires an integrated solution to manage every aspect of its financials operations and workflow. The software must facilitate the operational management of assets, budgeting, facilities planning and resources, general ledger, human resources, payroll, purchasing and accounts payable, reporting and vendor customer relations.

Asset Management


Garrett College requires an integrated solution to manage assets including, but not limited to, capitalization, depreciation, receiving, and tracking of assets.

Budgeting


Garrett College requires an integrated solution to manage all aspects of the budget process including, but not limited to, electronic approval process, budget change tracking, multiple budget years, exporting budget data to EXCEL and other file formats, website capabilities, integration with HR/Payroll, position budgeting, and budgeting for project accounting.

Facility Planning and Resource Management


Garrett College requires an integrated solution to manage all aspects of facility planning and resource management including, but not limited to, tracking facility use and capacity and assessment of resources.

General Ledger


Garrett College requires an integrated solution to manage all aspects of the general ledger including, but not limited to, real-time posting and processing, batch posting and processing, business unit support, approval queues for various functions, multiple journal entry functions, and cash receipts systems for miscellaneous revenue. In addition, the solution must provide support for funds and multiple (bank) accounts with different fiscal years, exporting to various file formats, departmental access to accounts, online bank reconciliation processing and other bank functions, integration with student billing, and tools for account reconciliation.

Human Resources Management


Garrett College requires an integrated solution to manage all aspects of Human Resources, including, but not limited to, website based tools to accommodate the application and resume’ process, website based employee self-service tools to view and modify their personal information, tools to manage employee information and job performance evaluations.

Payroll


Garrett College requires an integrated solution to manage all aspects of the payroll process including, but not limited to, general ledger posting, the electronic distribution of direct deposit pay advices and maintaining federal and state changes.

Purchasing and Accounts Payable


Garrett College requires an integrated solution to manage all aspects of the purchasing and accounts payable processes, including but not limited to, real-time posting and processing, decentralized purchasing functions with approval queues, website based tools for the various functions, integrated check printing tools, laser printing of checks and forms, and partial payments of purchase orders.

Reporting


Garrett College requires an integrated solution to manage all aspects of reporting including, but not limited to, tools for comprehensive and integrated reporting including, full financial reporting in conformation with generally accepted accounting principles.

Vendor CRM


Garrett College requires an integrated solution to manage all aspects of the vendor CRM process including, but not limited to, tracking vendor relationships, managing communications with vendors and website tools accessible to vendors to check payment status.

Additional Functionality


Furthermore, Garrett College requires an integrated solution to provide web-based employee self-service, web-based reporting, integration with the third party document imaging solution currently owned by Garrett College, integration with vendor-supplied or third party cashiering systems, enterprise-quality database environment, and integrated database security.
