Teen Conference Registration Process

The registration process for the Teen Conference has been modified to give full control of lodging accommodations to the Chapter Members. All reservations are made directly with the hotel.


Each Chapter’s Lead Teen Sponsors will be the single point of contact for registration and lodging accommodation information. It’s important to meet deadlines to ensure accurate placement.
All lodging reservations and payment will be handled directly with the hotel. Payments are paid in full for all reservations on May 1, 2014.

Registration

The on-line process will move through each of the sections easily. You will need to enter information in each of the sections. Before you begin the process, it will be helpful to know your Teen’s roommates.

Lead Teen Sponsors will have real time Chapter Reports – please use the reports and print your Chapter’s Reports for use during the conference. Please bring your reports to Conference.


Conference Registration


As in the past, Members will be provided with a conference registration link to register online.
Preferred method of payment is credit card.

Early Registration is for the first 100 teen registrants paying by CREDIT CARD ONLY.

Chapter checks are due IMMEDIATELY after Chapter registration process is completed – see registration deadlines.

IMPORTANT: Registrations paid via chapter check are NOT final until payment is received by the region.

Mother MUST inform Lead Teen Sponsor when registration process is completed.

Each Lead Teen Sponsor will have real time reports to ensure visibility of Chapter registrants.

All teens in a chapter should confirm lodging in the same hotel, if possible.

Lodging Accomodations


Once online conference registration process is completed, registrants will be automatically directed to the Gaylord’s website to secure hotel lodging. If rooms are not available at the Gaylord for Wednesday night, registrants will still be able to book a room at the Gaylord for Thursday-Saturday night. Registrants will then need to access the Sheraton website to secure a room for Wednesday night only.
The very first step in the lodging process is to select Teen roommates.

Lodging funds are paid directly to the hotel.

Preferred method of payment is credit card.

Chapter checks are due to hotel Jack and Jill housing coordinator after the entire chapter registration process is completed and no later than the deadline.

Phone reservations for hotel stays are NOT be permitted.

Mother MUST inform Lead Teen Sponor when lodging reservations are completed – so she can complete the chapter lodging rooming list.

Lead Teen Sponsor must manage chapter lodging spreadsheet and provide to the hotel once ALL chapter reservations are completed – only then can hotel make all reservations as requested.

Each Lead Teen Sponsor will have real time reports to keep up with your Chapter registrations.

A LA CARTE TICKETS – IMPORTANT NOTE

A la carte tickets are attached to either a Mother registration or a Senior Parent Package. When registering a teen, mom, or dad, you will have the option of purchasing additional tickets for family members for the Step/Talent Show, Leadership Luncheon, Senior Gala Reception, Senior Gala and Parent’s Jazz Lounge. It is important that you let your Lead Teen Sponsor know that you have purchased tickets and your Lead Teen Sponsor will pick up and distribute A La Carte Tickets to Members. Please note that these wrist bands act as tickets to gain entrance to the various events. You must have a wrist band for entrance. A LA CARTE tickets can be purchased online ONLY.


How to make a hotel reservation




How to make a GAYLORD hotel reservation





  1. All lodging reservations will be made directly with the hotel and paid by May 1st.



  1. For reservations, one person must make the reservations for all guests that are sharing one hotel room. Click the hotel link on the confirmation page to access the Hotel website. Once there, select “Attendee” from the drop down window as guest type.



  1. The next screen will ask you to select Check-In and Check-Out dates; number of rooms; and number of guests in room. Click “Next”.



  1. The next screen will ask you to select type of room (i.e. Standard or Atrium). Advertised rate is for a standard room. Once you complete room selection, your dollar total will display (without tax and service charge). Click “Next” and “Next “ again unless you want to upgrade your room selection. You will click “next” again to get pass the calendar display.



  1. The next screen is Personal Information. All required information has an asterisk (*). Enter first and last name, email, email confirmation, chapter name, country, mailing address, city, state, zip and phone number of all those staying in that room. The person making the reservation will be “Guest 1”. Please make sure to “uncheck” the box – “use primary guest address and phone” above guests 2 -4 to use the applicable information for each guest in that room. Click “Next”.



  1. In the next screen, enter your payment information. Only one credit card may be entered.  The credit card that is entered should be the card for “Guest 1”. Click “Next”.



  1. On the final page of the reservation, the total cost for the room will be displayed.  It will also provide you with a reservation summary showing “all guests” in that room. The primary guest will need to manually calculate the cost per person, which should match what you have listed in the conference information packet.  Once the room is reserved that guest will receive an acknowledgement number via email.
