Academic Ineligibility

In order to foster academic success, Xavier does all it can to assist students who are deficient in their scholastic performance. One of the steps Xavier may take to help struggling students succeed academically, is to limit a student’s participation in school-sponsored co-curricular activities (including athletics) until such time as he demonstrates sufficient improvement in his studies.


Students are ineligible to participate in athletics and co-curricular activities if they are failing two or more subjects at the distribution of grade reports. A student may also be declared ineligible at any time, for an indefinite period of time, if, in the judgment of the Headmaster or Dean of Academics, his academic welfare is in jeopardy.
Students with an unremedied failure from a previous semester-long course are ineligible until the conditions to pass, as set forth by the Headmaster or Dean of Academics, have been met.
Students who become ineligible may not participate in athletics or co-curricular activities for two full cycles beginning with the day the quarter grades are issued. Should Christmas, Mid-Winter or Easter Recess fall during the ten day period of ineligibility, students may practice with a team or club, but not compete or perform.
At the conclusion of the second cycle after quarter grades are issued, or any day thereafter, an ineligible student may request that the Dean of Academics declare the student to be eligible. To be declared eligible, a student must be passing all of his classes. If the Dean of Academics finds that the student is passing all of his classes, then the student will be given a letter from the Dean of Academics declaring him eligible. The student must present this letter to his coach or moderator in order to participate with that team or activity.
At the conclusion of the fourth cycle after quarter grades are distributed, the Dean of Academics will check the student’s grades again. If the student is still passing all his classes, he will remain eligible for the rest of the quarter. If he is failing any class, he will be ineligible for the rest of the quarter. If a student is deemed academically ineligible for a third time, he will automatically be placed on academic probation.
L. Academic Probation
Students who fail three or more classes for a marking period will be placed on Academic Probation for the remainder of the school year. Students who are placed on Academic Probation and do not show significant academic improvement (as determined by the Headmaster or Dean of Academics) are subject to dismissal at the end of either semester. At the discretion of the Headmaster and Dean of Academics, Academic Probation may be extended into the following semester including the following academic year.

M. Academic Dismissal
A student who has failed three or more courses for the year will be dismissed from Xavier. A student who has failed two courses for the year may be dismissed from Xavier.
A student who has multiple failures at the end of the first semester may be dismissed from Xavier. A student who was placed on Academic Probation and has not shown significant improvement at the end of either semester may be dismissed from Xavier.


      1. Academic Work Missed: Field Trips/Athletic Events/Retreats/Competitions

From time to time students may attend school-sponsored activities that require them to miss classes. In all cases parents will be notified in advance and a permission slip must be signed. The Dean of Academics may deny an individual student the privilege of attending such activities if the student is in danger of failing a particular class. Before participating in such an activity a student must meet all eligibility requirements (see Academic Ineligibility). In all cases the student is required to contact teachers or classmates to obtain work or lecture notes missed. A student is accountable for all material missed even though he is traveling on a school activity. A student is also accountable for all tests and/or quizzes during his absence. A student who does not finish work assigned while he was away will be assigned the grade of zero.




      1. Academic Work Missed: Illness

Student attendance is coordinated through the Dean of Students Office (see Attendance & Absence Policies). In cases of long-term or extended absences the Dean of Academics in consultation with the Headmaster, the Dean of Students, and the guidance department will determine the best way to proceed to make up work missed. It is important to note that an excused absence does not mean that the student is exempt from assignments missed while out. It is the expectation of the school that all academic work missed must be completed in a timely manner as determined by the student’s teacher or the Dean of Academics. In very rare cases and only with the permission of the Headmaster, a grade of Incomplete may be given and the student must work with his counselor, his teachers and the Dean of Academics to develop a timeline to finish the work and remove the Incomplete. If the Incomplete grade is not made up by the end of the year the Incomplete grade will revert to a failing grade.

B.School Chapel and Liturgies

The school chapel is available to all at any time and invites an atmosphere of reverence and meditation.

The entire school community comes together for the Liturgy of the Eucharist in St. Francis Xavier Church at certain special times during the year, including holy days of obligation when these occur on school days.

The Sacrament of Reconciliation is celebrated at special services during Advent and Lent. You may also ask any priest to hear your confession whenever you wish.



C.Days of Renewal and Retreats

To encourage personal spiritual growth, Freshmen participate in single days of renewal. Sophomores are required to attend a one night overnight retreat, the schedule of which will be determined by the Campus Minister. Juniors may participate in a three-night Kairos retreat. Seniors are invited to participate in the Magis retreat and the senior silent retreat.
