F. Emergency/Safety Procedures

With the uncertain times in which we live, we wish to keep parents and guardians informed about what our procedure is if there is an emergency in the city.


We operate from the basic standpoint that school is the safest place for your sons during most crises. We will not release your sons from school unsupervised until we are confident that it is safe to do so. We are well equipped with bottled water and food that will last days if necessary.
During an emergency, if you wish to come to the school to pick up your son, you will be directed to an area that will have all the information necessary for you to sign your son out. We will not release students to anyone other than a parent, guardian or the emergency contact person who appears on your son’s registration form.
If the emergency dictates that we need to leave our own school building, we have arrangements with two alternate sites which can accommodate our students, faculty and staff: Notre Dame School, located on West 13th Street between 8th and 9th Avenues, and Washington Irving High School, located on Irving Place between East 16th and 17th Streets.
We will do our best to keep you informed about developments and procedures if a crisis does occur. Because it may be difficult to get through by telephone, the best resource for you may be Xavier High School’s website. At www.xavierhs.org we will post, as much as possible, what we are doing to keep our students safe.

G. School Closings

If weather or conditions warrant the closing of school, a special announcement saying that Xavier is closed will be made on the radio. Since Xavier High School’s student and staff population comes from many different areas, we will make our decision with this in mind.


An announcement of school closing will be made, if at all feasible, by 6:00 A.M. We will use various radio station WINS (1010 on AM dial). Unless Xavier High School is mentioned by name, you are to presume that school is open. Xavier also uses an automated calling system to notify families of school closure and if needed changes to the daily schedule or emergencies. School closings will be posted on the main page of our website www.xavierhs.org.
Please do not call Xavier High School for information about the closing of school.
Whenever Xavier closes due to weather or other conditions, all activities and athletics scheduled for that day are also canceled. If no announcement is made concerning school closure, Xavier High School is open.

H. Assemblies

When an assembly is scheduled on a school day, either in the morning or at the end of classes, all students are expected to be present. No one may be excused without the explicit permission of the Dean of Students Office.


Students are expected to make a note of the dates when class meetings, seminars, performances, and the like are schedule after the regular dismissal time.

I. School Offices

The School Offices on the second floor of Lynch Building are the working areas for the President, Headmaster, Dean of Academics, and Registrar. Students should not enter offices directly, but arrange appointments with the appropriate administrative assistants.


If a student is sent to an office by a teacher, he should speak to the particular person’s administrative assistant. If a student is called to an office, he should not leave the office until he has seen the person who sent for him.
The Business Office, also on this corridor, has hours posted for times when the window is open for transactions.

J. School Hours

The school day ends at 4:00 P.M. In most instances students should plan to finish their activities in the school by that time. We believe strongly that students should be a part of their families’ dinner routines on a regular basis. We have asked coaches and moderators to be mindful of this. If a student needs to be in school later than 4 PM, he should be accompanied by the moderator of your activity or have the explicit permission of the Dean of Students or Headmaster.

If a student is going to be late getting home for any reason, responsibility demands that he call home so his family does not worry needlessly. This is especially important if an activity or practice goes beyond the time planned. If a student needs to use his cell phone in the building to make a call, he may ask for permission to use his cell phone in the office of the Dean of Students. If a student does not have a cell phone, he is welcome to ask to use a phone in the Dean of Students’ office.
When school is not officially in session, e.g., on weekends or holidays, students are not allowed in the school without the permission and presence of a moderator or teacher. Students are to remain in the school lobby until their coach, moderator or teacher arrives. It is important that students have their ID cards on these days.

K. Jobs/Working Papers

Xavier’s curriculum is a demanding one. Written homework and study are essential components of succeeding academically and these should be taken into first consideration when students think about taking on the added responsibility of a job.


If a student has a job, all school obligations, e.g., jug, assemblies, etc., take precedence. Early dismissal because of a job is not permitted under any circumstances. Applications for working papers are available in the Dean of Students Office. A $3 fee is charged.

L. Contacting Faculty

If parents/guardians have questions concerning their sons’ academic progress, they may contact their advisors or subject teachers by mail, e-mail, or by phone message during the school day.


M. Change of Address or Phone Number
If a student moves, he must fill out a change of address form in the Headmaster’s Office. If a student’s home phone number (or parent’s/guardian’s business phone) changes, he must inform the Headmaster’s Office staff.
N. Calling Students to Offices
If a student is contacted to report to an office at a particular time, he should arrive promptly and wait there until he is instructed to return to class. Even if he has a free class period, the student must not leave school until he has seen the person who called him. The penalty for not reporting is detention. A recess call-down list runs in the daily announcements, which are posted outside the Dean of Students Office and may be found on the school’s website. Each student is responsible for checking the announcement sheet on a daily basis.
O. Lost & Found
If a student finds anything that belongs to another, he should turn it in to the Dean of Students Office immediately. If a student loses something, he should inquire at this office. Students should check the bulletin board located outside of the Dean of Students Office to see if their name appears on the Lost & Found list. A fee of $1 will be charged for items left more than one day. Lost items brought to the Dean’s Office will remain there for two weeks, after that they will be sorted and donated to charity. Students should write their names on all personal items, especially calculators, textbooks and notebooks.
P. ID Cards
Students are required to have their ID cards on their person at all times when they are in school or at school functions. The penalty is one day’s jug and daily jug thereafter until the ID is produced. A student will not be admitted to a dance without his ID card. If a student loses his ID card, he should report it to the Dean of Students immediately. A fee of $3 is charged for replacement ID cards.

When a faculty member asks for an ID, it must be submitted without comment or questions. Any questions about a member of the faculty taking a student’s ID should be addressed to the Dean of Students.


ID cards should be carried on Xavier holidays when other schools are in session.
Q. Student Insurance

Xavier High School has a group Student Accident Insurance Plan with American International Life Assurance Co. of NY. Students are covered as of September 1st and the cost of this plan is included in the yearly fees.


It is an excess coverage plan in that eligible covered expenses will be determined after benefits have been paid by parent’s other valid and collectible insurance. If there is no parent insurance, then the coverage becomes primary. Information on the plan is distributed in September.
R. Tuition
Xavier High School is dependent on the prompt payment of tuition for our own operating costs on a month to month basis. It is therefore necessary for us to take a strong position on tuition. If a family is unable to make the regularly scheduled tuition payment, they should contact the Business Office as soon as possible. If a family becomes delinquent in tuition, the student will not be allowed to attend classes until the situation is remedied. If a student’s tuition is not fully paid, no records or transcripts or diplomas will be released.
For those students who officially withdraw from Xavier during a semester, tuition refunds will be granted for that portion of the semester not attended.
S. Fire Drills
The danger of fire and the potential harm to everyone at Xavier should not be minimized. Fire Drills should be taken most seriously. Whenever an alarm is sounded, students should adhere to the following:


  1. Presume that the alarm is real.

  2. Observe complete silence during fire drills.

  3. Be familiar with the most direct route to an exit from any point in the school; an exit route is posted in each classroom. Follow the instructions of your teacher.

  4. Close all windows and turn off all lights.

  5. Leave doors closed but unlocked.

  6. All classes proceed in single file; move quickly but without running. When descending staircases, one single file walks on the left, one on the right. The center must remain clear at all times.

  7. No one should stand in front of the school buildings after exiting during a fire drill.


T. School Events
When students attend events at Xavier High School (e.g., dances, plays, games), they are expected to conduct themselves in a manner consistent with the integrity and mission of our school. Students must remember that they are a part of something bigger than themselves and that they are subject to school rules and regulations.
U. Visitor Policy
The Xavier High School campus is defined as the school buildings, the sidewalks in front and back of the school buildings, the quadrangle and Hurtado Hall during schools hours and special events.
A visitor to Xavier High School is defined as any person, adult or child, who is not a student enrolled for the current academic year, an adult employee of Xavier, a member of the Board of Trustees, or a member of the Society of Jesus. All others must make their presence known in the proper and courteous way.
Regardless of the nature of their visit, all guests to Xavier High School should show proper courtesy by checking in at the reception desk and adhering to the following expectations.


  • Visitors to the Xavier High School campus must check-in at the reception desk commonly referred to as the Switchboard, located in the main lobby.




  • When the guest or group check-in at the Switchboard, the receptionist will call for the identified adult contact person in Xavier’s school community. The adult contact person is responsible for seeing the guest or group back to the main lobby once the visit is concluded.




  • If the timing is right for a visit, the visitor may sign-in and receive a guest pass from the receptionist. Unexpected visitors are required to wear the guest pass lanyard for the length of their stay and return it to the reception desk before departing the campus. If a contact person can not be reached, unexpected guests should not travel beyond the lobby area, unescorted, without the explicit permission of Xavier’s President, Principal, or Dean of Students.




  • Students from other schools visiting Xavier for activities (an athletic event, for example) are not permitted to move beyond the main lobby unless in the presence of an adult supervisor. Particular care needs to be given to female students participating in co-ed activities such as dramatics and choir. The names of the young ladies who are members of the activity should be given to the receptionist in advance of meetings, practices and the like. The young ladies should check-in and receive a guest pass before entering. No young ladies should be admitted unless the activity moderator has been notified.




  • Xavier students in the company of visitors are expected to abide by the school’s policy and procedures. Xavier students subject themselves to disciplinary action if they are in the company of visitors who have moved beyond the lobby without checking-in at the reception desk and gaining permission to access the campus.

The visitor policy is in effect during school hours, before and after school and on weekends and holidays. Xavier’s Dean of Students is designated to be the primary contact person for safety and security issues and concerns on the Xavier Campus. Xavier’s President and Headmaster work together to set policy and procedures for all matters concerning the Xavier High School community and campus.




V. SCHOOL FACILITIES
A. Classrooms
Students are to open windows only when directed by a teacher. If a student throws anything out of a window, he is liable for expulsion.

When a teacher is more than five minutes late for class, the entire class is to assemble in the Commons for the entire period and one student should report to the Headmaster’s Office. Students should report to this area in silence since other classes are in session. Students are not permitted in a classroom without a faculty member present.
B. Corridors & Staircases
Students are expected to be in the Cafeteria, the Library, the Learning Center, in the Quad, or the Commons during free and lunch periods. Students are expected to get what they need from lockers during the first ten minutes of a period. After the first ten minutes of a period has expired, students should be in one of the designated gathering areas. No student should be above the 2nd floor of our campus unless he is on his way to conduct business in a school office or meet with an adult educator.
Because noise from the corridor disrupts the learning environment in classrooms, students are not allowed to wait in the hallways or staircases for an upcoming class. Students must wait in one of the designated areas on the second floor or below until the warning bell sounds to end the period. Students who do not comply with these expectations can receive Jug. Students acting in a way disrupts teaching can receive multiple Jugs.
